We are looking for a highly organised and proactive Part‑Time Office Manager / Executive Assistant to support our Italian leadership team and maintain an efficient, professional, and well‑functioning office environment.
Role Purpose
In this hybrid role, you will provide executive support to the CEO Italy and Management Team while ensuring the smooth daily operation of the Boldyn Networks Rome office. Your work will enhance leadership effectiveness, employee experience, and organisational efficiency. Key Responsibilities
Executive Support
Manage executive calendars, meetings, appointments, and communications.
Prepare documents, presentations, reports, and meeting minutes.
Prioritise and filter requests directed to the Management team.
Organise business travel, logistics, internal/external meetings, and company events.
Office Management
Oversee day‑to‑day office functioning, ensuring a professional and efficient workspace.
Manage suppliers, facility management, service providers, and consultants.
Coordinate front‑desk/reception activities and visitor management.
Support onboarding and offboarding of employees (access, equipment, documentation).
Manage office budgets, orders, purchase requests, and expense reports.
Oversee basic workplace safety requirements (maintenance, compliance, safety devices).
Administration & Organisation
Maintain digital and physical archiving systems.
Prepare contracts, letters, and basic administrative documents.
Support HR operations where required (documentation, scheduling, coordination).
Assist in corporate projects, ensuring follow‑up and cross‑departmental coordination.
Support internal and external audit processes, including ISO certifications and internal SWS audits.
Candidate Requirements (Must‑Haves)
Fluency in English (required); Italian highly preferred.
Strong proficiency with Microsoft Office applications.
2+ years of experience in Office Management, Executive Assistance, or similar administrative roles.
