JOB SUMMARY
This part-time position provides administrative and operational support to the Parks Division. The role assists with day-to-day functions by coordinating work order activities, supporting basic budget tracking, and monitoring departmental expenses. The Administrative Assistant serves as a key point of coordination for internal processes, helping ensure efficient operations. The ideal candidate is organized, proactive, and demonstrates strong communication and administrative skills
ESSENTIAL JOB FUNCTIONS
Work Order Management:
- Act as a liaison to our work order management system.
- Receive and process work orders, ensuring accurate and timely entries.
- Collaborate with relevant departments to gather necessary information for work order completion.
- Monitor and update the status of work orders regularly.
Budget Tracking:
- Assist in the creation and maintenance of budgets for various projects and divisions.
- Track expenses against budget allocations.
- Generate reports to provide insights into budgetary performance.
- Work closely with team members to ensure adherence to budget guidelines.
Expense Tracking:
- Record and reconcile expenses accurately and in a timely manner.
- Verify receipts and documentation to ensure compliance with City policies.
- Assist in the preparation of expense reports for review and approval.
- Address any discrepancies or issues related to expenses.
Administrative Support:
- Provide general administrative support to the team as needed.
- Assist in scheduling meetings, preparing documents, and managing correspondence.
- Maintain organized and up-to-date records related to work orders, budgets, and expenses.
MINIMUM QUALIFICATIONS
- High School Diploma or equivalent
- At least one (1) year of experience in an administrative, budgeting, or similar role
- Proficiency in or ability to become proficient in the City’s work order management system
- Strong organizational skills and attention to detail
- Excellent written and oral communication skills
- Ability to work independently and as part of a team
- Ability to multitask and prioritize tasks effectively
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Basic understanding of budgeting principles
PHYSICAL DEMANDS
The work is sedentary to light which requires the ability to exert light physical effort, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-35 pounds). Tasks may involve extended periods of time at a keyboard or work station. Some tasks require the ability to communicate orally.
WORK ENVIRONMENT
Work is regularly performed without exposure to adverse environmental conditions.
