Job Description

Position Title: Clinic Operations Manager

Location: Country Doctor Community Clinic 

Employment Type: 40 hours per week

Credentialed/Licensed Position: Yes

 

Salary: $51.27 – 72.18 per hour, payable bi-weekly. The salary scale for this position is between steps 0 and 19, depending on experience. Applicants must pass an extensive background check. Seattle Roots Community Health is a not-for-profit organization that operates two primary care clinics, an After-Hours Clinic, two School-Based Health Centers, a low barrier Medication-assisted treatment clinic and a Dental Clinic. Our Carolyn Downs Family Medical Center was founded in 1970 in Seattle's Central District. Our Country Doctor Community Clinic was established in 1971 by residents of the Capitol Hill neighborhood.

Job Summary

The Clinic Operations Manager is a clinically grounded leader responsible for integrating patient care expertise with operational oversight to ensure high-quality, patient-centered services. Reporting directly to the Director of Operations, the Clinic Operations Manager collaborates closely with the Clinical Site Director to drive efficient staff performance and seamless care delivery in alignment with the organization’s mission. This role oversees all aspects of clinic operations, including human resources, budget management, facilities, supply chain, clinical workflows, community relations, and electronic medical record systems (Epic), while supporting and guiding clinical staff.

 

Job Responsibilities

 
  • Ensure consistent delivery of high-quality care to a diverse patient population, addressing any issues impacting patient satisfaction or clinic operations.
  • Anticipate/plans for future changes and works collaboratively with providers, staff and other stakeholders to ensure optimal clinic productivity/patient flow, customer service and effective allocation of resources.
  • Address patient complaints/concerns and research and resolve; acts as patient advocate when necessary.
  • Develop, implement, and monitor clinic policies and procedures, actively engaging in quality improvement initiatives.
  • Manage staff schedules, review time-off requests, and ensure appropriate staffing levels for optimal clinic performance.
  • Plan and conduct regular staff meetings, training sessions, and team-building activities to support staff growth and professional development.
  • Coordinate outreach and partnership-building efforts to eliminate barriers to care, ensuring that underserved patient populations have access to necessary services.
  • Foster open, collaborative communication within the clinic and across departments to ensure cohesive teamwork.
  • Partner with HR to develop and implement policies that support effective clinic operations and quality patient care.
  • Conduct interviews, performance evaluations, and participate in clinical operations meetings. Serve on committees, including Safety and Infection Control, and contribute to ongoing quality improvement initiatives.
  • Oversee clinic productivity, track budget performance, and ensure resources are used efficiently to meet organizational goals.

 

Qualifications

  •  Experience working in a multicultural environment and providing care to vulnerable populations.
  • Strong verbal and written communication skills in English; fluency in Spanish is a plus.
  • Proficiency in MS Office (Word, Excel) and other related software programs.
  • Familiarity with Electronic Medical Record (EMR) systems, particularly Epic, is highly preferred.

  • Ability to stay organized, flexible, and calm under pressure, effectively managing multiple tasks in a fast-paced environment.
  • Strong interpersonal skills and the ability to engage with diverse populations and cultures.
  • Willingness to work extended hours and be available after hours or on weekends when needed.
  • Ability to perform physical duties including sitting, standing, walking, bending, and lifting, with or without reasonable accommodation.
  • Ability to travel between service sites and attend off-site meetings as required.

Education & Training

  • Bachelor’s degree in business administration, Public Administration, Healthcare Administration, or Social Work; Master’s degree preferred.
  • BSN (Bachelor of Science in Nursing) strongly preferred.
  • Minimum of three (3) years of direct clinical/patient care experience, preferably in a primary care or community health setting. 
  • Minimum of three (3) years of management experience in primary care with supervisory responsibilities. 
  • CPR Certification.
