Position Summary

The Assistant Property Manager supports the day-to-day operations of South Quarter, a four-property, 210-unit mixed-income and supportive housing community in South Minneapolis (The Rose, The Wellstone, The Jourdain, and Pine Cliff). This position has a primary focus on affordable housing compliance and is actively engaged in supporting leasing and occupancy goals.

 

Working closely with the Senior Property Manager, this role is responsible for ensuring compliance processes are completed accurately and on time across multiple affordable housing programs. The Assistant Property Manager takes ownership of compliance-related tasks and documentation while partnering with Aeon's Compliance team to maintain organized, audit-ready files.

 

In addition, this role supports the daily flow of leasing and occupancy activity by helping prioritize work, keeping processes moving, and stepping in to assist the Leasing Agent as needed. The Assistant Property Manager plays a key role in maintaining organization, consistency, and follow-through across property operations-including leasing, resident interactions, financial processes, and administrative functions.

 

This position is ideal for someone who is highly detail-oriented, dependable, and takes pride in owning their work, while contributing to a collaborative, resident-focused team environment.

 

The Assistant Property Manager reports to the Senior Property Manager.

 

Key responsibilities include, but are not limited to:

  • Regulatory Compliance: This position has a heavy focus on compliance paperwork. Under the direction of the Senior Property Manager, the Assistant Property Manager is responsible for maintaining compliance with all applicable regulations (HUD, LIHTC, etc.). Tasks may include preparing recertification notices, meeting with Aeon households to collect and process required documentation, working with Aeon's Compliance team to identify and resolve events of noncompliance and ensure proper filing and retention of compliance records.
  • Marketing and Leasing: Achieve and maintain property occupancy goals in alignment with organizational and budgetary targets by actively partnering with the Leasing Agent in daily leasing activities such as leasing units, processing applications, and supporting resident retention efforts. Step in as needed in all phases of the leasing process. Ensure marketing practices align with affirmative fair housing requirements and organizational standards.
  • Resident and Property Relations: Respond to resident, vendor, and management inquiries and concerns. This includes entering maintenance requests, coordinating vendor access, attending community meetings, and responding to emergencies in a timely and professional manner.
  • Office and Administrative Support: Provide on-site administrative support during office hours by answering phones, managing mail, filing, maintaining office equipment, ordering supplies, and assisting residents. Accurately enter applicant and resident data into the property management system and provide vendor/contractor site access.
  • Financial Operations: Support the rent collection process by issuing receipts, preparing deposits, and generating delinquency notices. Assist with lease terminations and legal action, as needed. Contribute to achieving budget expectations by making fiscally responsible decisions that increase the net operating income.
  • Physical Asset: Support the Senior Property Manager and maintenance team to ensure the property meets and passes all physical inspection standards. Conduct move-in and move-out inspections, walk the property regularly, and help address maintenance issues to preserve asset quality.

 

Skills & Qualifications

We are seeking a detail-oriented professional with strong critical thinking skills and the ability to adapt to changing rules and regulations. They are capable of organizing information from multiple sources and building strong relationships with staff and residents to ensure compliance and effective operations across various housing programs. Ideal candidates will have a particular interest and skillset in affordable housing compliance.

 

  • Previous property management experience is required.
  • Experience with affordable housing programs such as Tax Credit and Project-Based Section 8, is strongly preferred.
  • Demonstrated ability to take initiative, stay organized, and manage competing priorities is required.
  • Strong computer literacy skills including experience with Yardi, Fortress or other property management system is preferred.
  • Demonstrated ability to engage in interpersonal communication that is culturally responsive, ensuring consideration for differing needs and expectations.
  • Exceptional customer service skills, with a focus on resident retention and satisfaction.
  • Experience working with individuals experiencing or significantly impacted by mental health challenges, substance use, poverty, long term homelessness, and trauma is a plus.
  • Ability to multi-task, prioritize responsibilities, be adaptable and work effectively in a fast-paced, high-energy environment.
  • Demonstrated ability to organize and compile information from various sources to ensure accurate reporting and regulatory compliance.
  • Must be a resourceful, problem solving, relationship-building, seeker of excellence, with a commitment to Aeon's mission.
  • Solid and proven work ethic with the ability to use good judgment, prioritize and execute wide-ranging workload in a fast-paced environment.

Physical Requirements

  • Ability to remain in stationary position for extended periods while working at a computer and attending meetings.
  • Ability to operate standard office equipment, including computers, phones, and printers.
  • Ability to move about the office to access files, meeting spaces, and office equipment.
  • Ability to reach above and below shoulder height to access file cabinets, storage areas, and office supplies.
  • Ability to lift and carry materials up to 15 pounds on an occasional basis, such as meeting materials or event supplies.
  • Ability to conduct property tours and inspections: Includes walking through hallways, stairwells, leasing offices, common areas, and vacant or occupied apartment homes. This may involve navigating multiple floors and uneven surfaces.
  • Ability to communicate clearly and effectively, both verbally and in writing, in person and through virtual platforms.
  • Ability to work in environments with moderate noise levels, including shared office spaces, meetings, and event settings.

Compensation, Hours & Location

The pay range for this position is $24-$27/hr, depending on experience and skillset. Aeon offers a comprehensive benefits package that includes medical, dental, vision, life insurance, long-term disability, retirement plan, generous paid time off, and an employee assistance program.

This full-time position follows a Monday – Friday schedule from 8:30am to 5:00pm. Flexibility may be required to meet the needs of the role, including occasional adjustments for resident events, community activities, meetings, or other property-related responsibilities. This is an in-person role based at the assigned properties, with occasional work at Aeon's Central Office, training facilities, or other properties as needed.
