Job Description

The Facilities and Procurement Manager is responsible for the end-to-end management of Peoplelink Group’s facility portfolio and indirect spend, ensuring safe, compliant, cost-effective, and operationally ready work environments across all locations.

This role owns day-to-day facilities operations, site openings, closures, and relocations, and serves as the primary lead for indirect procurement, including vendor RFPs, pricing negotiations, contract renewals, and spend optimization initiatives. The position partners closely with Finance, HR, IT, Operations, and external vendors to support business continuity, cost discipline, and scalable growth.

 

Key Responsibilities:

Facilities Portfolio Management

  • Own the operational oversight of all Peoplelink Group facilities, ensuring locations are safe, functional, branded appropriately, and compliant with regulatory requirements.
  • Manage the full facility lifecycle, including new site openings, relocations, closures, and office moves, coordinating internal teams and external partners to ensure smooth transitions.
  • Serve as the primary point of contact for landlords, property managers, and facility service providers, addressing maintenance, access, signage, and space-related needs.
  • Partner with leadership to support facility planning and footprint decisions, aligned with operational and growth strategies.
  • Maintain accurate records for facilities, including service contracts, inspections, warranties, and compliance documentation.

Facilities Operations & Maintenance

  • Oversee preventive maintenance, repairs, and inspections for building systems (HVAC, electrical, plumbing, fire/life safety, access control).
  • Coordinate vendor service schedules to minimize disruption and ensure timely resolution of facility issues.
  • Support space planning, office layouts, and workspace setup in collaboration with business units.
  • Identify opportunities for efficiency improvements and sustainability initiatives.

Indirect Procurement & Strategic Sourcing

  • Lead enterprise-wide indirect procurement, including facilities-related and non-facilities operational spend.
  • Manage RFP processes, vendor evaluations, pricing negotiations, and contract execution.
  • Oversee vendor relationships across facilities, janitorial, security, maintenance, equipment, and other operational services.
  • Collaborate with internal departments to manage service renewals, scope adjustments, and supplier performance.
  • Monitor vendor performance against service-level agreements and contract terms; address performance gaps as needed.
  • Identify opportunities for vendor consolidation, pricing improvements, and process efficiencies.

Financial Management & Cost Control

  • Develop and manage facilities and procurement budgets, including operating expenses, capital projects, and indirect spend categories.
  • Track spending, analyze variances, and partner with Finance to ensure alignment with budgetary goals.
  • Support long-term cost reduction initiatives through strategic sourcing and disciplined vendor management.
  • Forecast procurement needs and capital requirements tied to facility plans and operational demand.

 

Qualifications: 

Required

  • At least 3 years of experience in facilities management, procurement, operations, or related fields.
  • Experience managing vendors, contracts, and negotiations.
  • Working knowledge of building systems, safety regulations, and indirect purchasing.
  • Strong Project Management skills
  • Highly organized and proficient with creating/managing reports in Excel and various systems/portals
  • Ability to travel to Peoplelink locations as needed.

Preferred

  • Experience supporting multi-site or geographically distributed organizations.
  • Budget management and capital project experience.
  • Familiarity with RFP processes and procurement systems.
  • Certified Facility Manager (CFM) or similar credential.
