DEFINITION:

Under general supervision, performs event operations and logistical support duties for City-sponsored recreational programs, community events, and facility rentals. Provides field-level support to supervisory staff and assists with the preparation, setup, execution, and breakdown of assigned events. Acts as the primary on-site operational contact for events, ensuring activities are implemented in accordance with approved plans, timelines, and established safety standards. Coordinates equipment, vendors, and event resources to maintain efficient operations and address issues in real time. When events are not occurring, performs routine operational duties including inventory management, equipment maintenance, venue setup, cleaning, and inspections to ensure facilities and event assets are maintained to established standards of safety, cleanliness, and operational readiness. Performs other duties as assigned.


DISTINGUISHING CHARACTERISTICS: 

This is a single-incumbent classification responsible for a combination of event operations and facility support duties. The employee receives general supervision from the Recreation Manager or designee. The position does not supervise other employees but provides functional guidance and coordination for temporary staff, volunteers, vendors, and contracted service providers during City-sponsored events, programs, and facility operations.

Position Duties

The duties listed below represent the various types of work that may be performed. The omission of specific statements of duties does not exclude them if the work is related or a logical assignment to this class.

Participate in the setup, breakdown, and operational support of City-sponsored events, programs, and facility rentals, utilizing various equipment and tools in the completion of assigned tasks.

  • Perform tasks related to the preparation and maintenance of event venues and public spaces including picking up trash and debris; emptying trash containers; cleaning event areas and restrooms; replenishing supplies; and reporting safety hazards. Ensure adherence to safe work practices and procedures.
  • Perform duties during special events to ensure event areas are properly set up, supplied, and maintained in accordance with approved plans and direction from supervisory staff.
  • Serve as the on-site contact during events between event organizers, vendors, contractors, and City departments to ensure equipment, physical setup, traffic control, and site conditions meet approved event requirements and contractual agreements.
  • Monitor events to ensure guest safety, respond to client and public inquiries in a timely manner, and ensure compliance with City policies and procedures.
  • Operate various light equipment and vehicles including trucks, trailers, lifts, and other event-related equipment as required.
  • Load, transport, inventory, and store event equipment and materials before and after events; ensure equipment is properly secured and returned to designated storage areas.
  • Assist with the inspection and maintenance of event equipment and facilities; report damage, malfunctions, and maintenance needs.
  • Perform other duties as assigned.


EMPLOYMENT STANDARDS:


Knowledge of:

  • Operations, services, and activities of an event operations and facility support program. 
  • Methods and techniques of event equipment operation and venue setup. 
  • Basic principles of event site preparation, logistics, and facility operations. 
  • Pertinent Federal, State, and local laws, codes, and regulations. 
  • Basic principles and procedures of record keeping and inventory control. 
  • Operations, services, and activities of the City. 
  • English usage, spelling, grammar, and punctuation. 
  • Operational characteristics of various event equipment, tools, and vehicles. 
  • Occupational hazards and standard safety practices. 


Ability to:

  • Operate a variety of event equipment and vehicles in a safe and effective manner.
  • Work outdoors and in inclement weather conditions.
  • Take initiative and work independently while maintaining a collaborative team environment.
  • Establish and maintain effective working relationships with those contacted in the course of work including both internal and external customers, vendors, and contractors.
  • Interpret and apply Federal, State, and local policies, laws, and regulations.
  • Understand and follow oral and written instructions.
  • Communicate clearly and concisely, both orally and in writing.

Minimum Qualifications

Education, Training, and Experience:

  • High School diploma or GED equivalent.
  • One (1) year of experience in event operations, facility support, maintenance, parks, or related municipal operations.


Licenses and Certificates:

  • A valid state driver’s license is required at the time of appointment and must be maintained throughout employment. 


SPECIAL REQUIREMENTS: 

  • Position requires regular in-person attendance including evenings and weekends as needed.
