Primary Duties and
Responsibilities:
 

This position greets and assists patients and others as they enter and leave Health Services at the front desk of the clinic, providing exceptional customer service to all patients and other customers which may include university faculty, staff, administrators as well as students, parents, prospective students and parents and community. Supports other Health Services office functions as assigned.

  • Serves as a point of contact to answer questions and concerns about Health Services processes and policies, referring to clinical staff when appropriate
  • Ensures in-coming calls are answered and appointments scheduled appropriately during clinic hours

  • Provides exceptional customer service to all patients and other customers which may include university faculty, staff, administrators as well as students, parents, prospective students and parents and community members
  • Updates and maintains Electronic Medical Record schedule as needed
  • Responsible for taking patient payments including credit card and cash payments and refunds and assisting with collection of outstanding balances
  • Verifies Student Health Insurance Policy for patients
  • Maintains inventory of office supplies
  • Ensure timely review of immunization records in the ICM for compliance, delegates as needed during high volume/registration periods, answers patient questions as needed regarding immunization compliance, and remove registration holds when compliance is met
  • Ensures lab results and other documents are scanned into patient charts within 24-48 working hours
  • Responsible for processing incoming and outgoing mail
  • Train in and exhibit an understanding of FERPA and HIPAA
  • Assist with special projects including educational programming, vaccine clinics, etc.
  • Ensures office area and patient waiting areas are clean and stocked with necessary supplies
  • Create word and excel documents as requested
  • Take meeting notes as requested

    Required EducationHigh School Diploma or equivalent required, Bachelor's degree preferred.
      
    Required ExperienceUp to 1 year office or customer service experience required; one to three years preferred. Medical or allied health experience preferred. Strong computer skills, specifically working with Microsoft Office programs (Word, Excel, Outlook, Teams), with the ability to adapt to new systems preferred.
