Job Description

The Residency Program Coordinator is responsible for the day-to-day administration of the Family Medicine Residency Program and coordination of rotations for students and residents from approximately 48 affiliated medical student programs, including the Nor-Lea Family Medicine Residency Program. This role manages residency and student scheduling, educational space readiness, and program documentation to ensure ongoing compliance with ACGME and institutional requirements. The Residency Program Coordinator resolves operational issues, prioritizes time-sensitive tasks, supports accreditation activities, and coordinates student rotations. This position requires strong organizational skills and the ability to meet time-sensitive deadlines.

• Accurately oversee scheduling, recruitment, credentialing, and curricular management, ensuring adequate coverage, compliance with policies, and timely completion of all required steps.

• Maintain continuous ACGME accreditation readiness by monitoring standards, ensuring required documentation is current, and supporting timely preparation and follow-up for annual reviews and site visits.

• Proactively manage property and space requirements for resident and student educational areas, ensuring readiness, safety, and regulatory compliance through regular inspections, timely work orders, and documented follow-up.

• Coordinate student placement, onboarding, evaluations, and communication, ensuring all milestones are completed accurately and on time and that students, residents, faculty, and partners receive clear, timely information.

• Track and meet all deadlines for accreditation, evaluations, institutional reporting, and student placement, ensuring submissions are complete, accurate, and delivered within required timeframes.

• Maintain accurate, up-to-date databases; produce timely, error-free institutional reports; and organize and safeguard program documentation in accordance with institutional and regulatory requirements.

• Plan, coordinate, and support resident and student orientations, events, and academic activities, ensuring logistics are completed on schedule, materials are prepared accurately, and feedback is collected and used for continuous improvement.
