We are seeking a Payroll Specialist to join our Jeppesen Fore Flight team in Gothenburg.
Key Responsibilities:
- Own the end-to-end payroll process for the Poland entity, from data collection through processing, validation, and reporting
- Ensure accurate and timely payroll execution in compliance with Polish labor laws, tax regulations, and company policies
- Manage all statutory payroll components including ZUS contributions, PIT tax filings, and social security reporting
- Serve as the primary liaison with ZUS, tax authorities, and external payroll providers
- Partner with HR and Finance to ensure accurate processing of compensation changes, benefits, bonuses, and terminations
- Coordinate and manage payroll vendor relationships, ensuring service delivery, accuracy, and SLA adherence
- Support and maintain compliance with Works Council / employee representative body requirements
- Maintain accurate payroll records and support audits, including statutory reporting and reconciliations
- Review and reconcile payroll data, including monthly, quarterly, and year-end reporting
- Identify opportunities for process improvements, automation, and standardization
- Act as the main point of contact for employee payroll inquiries
- Partner with HR on onboarding/offboarding processes to ensure payroll readiness
This position is on a hybrid schedule. This means you will be required to perform some work onsite at the company’s Gdansk, Poland office. This is at the hiring team’s discretion and could potentially change in the future.
Basic Qualifications:
- 5+ years of payroll experience in Poland
- Bachelor’s degree in Accounting, Finance, Business Administration, related field or equivalent job experience
- Strong knowledge of Polish payroll regulations including ZUS, PIT, and social insurance
- Experience working with payroll vendors
- Familiarity with Polish labor law
- Proficiency in payroll systems (UKG, ADP, Workday, SAP, or similar)
- Strong Excel and data reconciliation skills
- Fluent in Polish and English
Preferred Qualifications:
- Experience with Works Councils or employee representative bodies
- Experience in a multinational payroll environment
