As the Receptionist, you will be the first point of contact welcoming visitors, including existing and potential clients and potential employees to our Pittsburgh office. In this role, you will need to have a friendly demeanor, strong organizational skills and an eagerness to assist visitors and employees alike. WHAT YOU’LL DO
- Provide best-in-class experience to clients, employees and other visitors by greeting guests, answering and redirecting calls from the switchboard, validating and tracking parking vouchers, as well handling monthly reconciliation
- Manage conference room calendar and schedule, including coordinating room setup and equipment needs, as well as handling monthly invoices for use of conference rooms
- Prepare monthly coverage schedule for receptionist desk for vacation and lunch breaks
- Assist departments with scanning projects, large mailings and uploading information; support Office Services with confirmation letters, mailings, scanning, entering charges for mailings, etc.
- Assist with employee onboarding by ordering ID badges for new hires and updating directories
- Advise Office Services in advance of beverage setups for the following day’s meetings, as well as assisting with setup and cleanup when possible; keep inventory of supplies (e.g., beverages, office supplies, etc.)
- Focus on customer service and continually strive to perform the duties in a manner that will result in best-in-class experience for clients and employees alike
WHAT YOU’LL NEED
- Bachelors’ degree in Business or related field OR High School Diploma/GED and four years of relevant experience required
- Previous experience supporting executive-level individuals in a corporate environment is required
- Proven ability to work independently and effectively in a dynamic, fast-paced, multi-tasking environment
- Advanced knowledge of Microsoft Office suite, including Word and Excel
- Strong writing, proofreading, editing and language skills
- Extreme attention to detail, and strong organizational skills
- Ability to define priorities and to handle multiple tasks and projects, with minimal direction
- Ability to work under pressure; maintain problem-solving attitude
- Adaptable; able to change focus quickly
- Strong interpersonal skills in working with internal staff, shareholders and clients
- Strong telephone oral communication skills
- Discreet, with ability to keep information confidential
- Knowledge of office support practices and techniques
