Job Description

Job Summary

The Administrative Assistant for Online Learning assists the Associate Vice President for Academic Administration with the various tasks related to the online learning office and processes. The online learning office assists with all online education for Southwestern, so a suitable candidate should be familiar with higher education, best practices for online education, and proficient and knowledgeable as to the latest relevant technology. The candidate should also be detail-oriented, organized, an excellent communicator, have an eye for design, teachable, and a team player.

Key Responsibilities

  • Maintains the Online Learning reception area.
  • Trains TAs on online office protocols and coordinates TAs for faculty for each semester.
  • Trains and assist Faculty and/or TA and CA with Canvas course design and serve in course designer role, as needed.
  • Onboards, trains, and coordinates with Course Designers, as needed.
  • Oversees Canvas course quality control and record, edit, and upload video course content (optional).
  • Organizes Logos Textbook request for faculty and coordinates with CT to integrate Logos textbooks into courses.
  • Manages Logos communication plan and scheduling as determined by the AVP for Academic Administration.
  • Runs weekly reports on enrollment for 8-week programs.
  • Assists in taking minutes for OLC meetings.
  • Coordinates scheduling of recording studio per institutional policies.
  • Perform other related duties as assigned and specific to area of responsibility.

Supervisor / Leadership Responsibilities

  • Supervise TA/CA and PM Kronos timecards

Skills / Requirements

  • Bachelor�s degree in business administration, communications, education, or related field is preferred.
  • Excellent written and verbal communication skills and the ability to clearly and simply articulate the value propositions of SWBTS.
  • Strong organizational skills and attention to detail, with the ability to effectively manage multiple tasks and deadlines related to course scheduling on a semester basis.
  • Ability to critically think, solve problems, and provide solutions to department related inquiries.
  • Exemplary social skills with an ability to ensure considerate interactions with all members of faculty and staff, and demonstrate appreciation for interacting with a diverse group of people from all backgrounds and age groups.
  • Proficiency in general computer application technologies (Microsoft Office, Adobe Acrobat Pro, MS SharePoint, MS Stream, WEAVE) and knowledge of technical aspects of videography and video software (Camtasia, OBS Studio).
  • Previous best practices experience of course design in Learning Management Systems (LMS), such as Canvas.
  • Effective navigation and usage of organization systems, policies, and procedures to achieve goals and performance expectations.
  • Strong work ethic and initiative; ability to operate with minimal supervision.
  • Exhibit a humble, patient, and collaborative spirit, to create a healthy and vibrant work culture

Work Environment / Physical Requirements

  • Office Environment - May be required to reach above shoulder level for organizational tasks (e.g., retrieving files from upper shelves), bend, stoop, or reach to access lower or upper shelves.
  • Ability to sit and stand for extended periods of time and move about to the office to interact with other staff members.
  • Ability to use a computer and near-visual acuity in reading written documents and statistical data.
  • Exchanges information by telephone, computer, in writing and in person.
  • Ability to traverse campus for meetings and talk to groups while doing so.
  • Moderate Lifting - Occasionally transports 20-35lbs of parts and equipment across short distances by various means (e.g., carrying by hand, cart, golf cart) to accomplish tasks.
  • Ability to withstand the heat and cold of the north Texas climate.
