As the Executive Assistant for Deputy Headmaster/Head of Preparatory School (DHM/HoPS), you will play a crucial role in ensuring the smooth operation and coordination of our Preparatory School. Reporting directly to the Deputy Headmaster/Head of Preparatory School, you will provide comprehensive coordination and administrative support and facilitate effective communication across the college.
Accountabilities will include:
- Manage the DHM/HoPS inbox and calendar, exercising discretion as to urgency and importance of requests for meetings and prioritising correspondence and drafting responses as needed.
- Draft and circulate school-wide communications on behalf of the DHM/HoPS.
- Support document production by collating information, drafting, proofreading, and formatting documents and reports as required.
- Coordinate the Preparatory School leadership meetings, including scheduling meetings, distributing agendas, minute taking and following up on action items.
- Support the school’s admissions process by organising interviews, trial days, follow-ups, transition programs, and orientation events for prospective Preparatory School families in conjunction with Admissions and leadership team.
- Maintain files and records to support easy retrieval of information and appropriate archiving.
The successful candidate will be required to support the School Office with front desk enquiries; this will include providing first aid to students.
To be successful in this position you will need to have excellent communication skills along with a strong customer service focus. You will also have the necessary people skills required to develop solid professional relationships with a number of stakeholders and an ability to work closely with College teachers and operational staff. We are seeking a highly skilled and professional administrator with excellent organisational skills and the ability to be adaptable to the requirements of the Preparatory School.
This position is working 37.5 hours per week, Monday to Friday, over 42 weeks per year during term time.
