Job Title: Operations & Marketing Coordinator
Work Shift: 9:00 AM – 6:00 PM | Monday – Thursday
Classification: Part-Time (32 Hours/Week)

Summary
We are seeking a highly organized and proactive Operations & Marketing Coordinator to serve as the operational backbone of our Behavioral Health program. This role is designed for a professional who can balance high-level executive support with creative marketing initiatives. You will serve as the right hand to program leadership, ensuring our daily operations are seamless while helping us grow our reach within the mental health community.
Key Responsibilities
1. Executive & Operational Support
- Leadership Support: Manage complex calendars for program leadership, including scheduling clinical meetings and coordinating travel.
- Financial Admin: Process expense reports, manage office supply budgets, and ensure compliance with financial policies.
- Documentation: Draft high-stakes correspondence, prepare agendas, and maintain a centralized, HIPAA-compliant document repository.
2. Marketing & Communications
- Content Creation: Assist in the design and distribution of brochures, digital presentations, and social media content to promote our services.
- Market Research: Track industry trends and competitor data to help refine our program’s positioning.
- Lead Management: Maintain marketing databases and organize collateral for outreach events.
3. Project & Event Management
- Event Planning: Lead the logistics for program events, from vendor coordination and budgeting to attendee registration.
- Project Tracking: Use project management tools to ensure program deadlines (clinical reports, marketing launches) are met on time.
4. Team Coordination (Supervisory)
- Staff Oversight: Provide guidance to junior administrative staff to ensure a balanced workload.
- Onboarding: Lead the training and integration of new hires into the program’s administrative workflows.
Qualifications
- Experience: Minimum 2–3 years of experience in an Executive Assistant, Operations, or Marketing Coordination role.
- Education: Degree in Business Administration, Marketing, or Communications preferred.
- Tech Savvy: Advanced proficiency in Microsoft Office 365. Experience with Canva (for marketing) and project management software (Asana, Monday.com, or similar) is a major plus.
- Soft Skills: Exceptional emotional intelligence—essential for a behavioral health environment—and the ability to maintain strict confidentiality.
- Reliability: Ability to thrive in a 4-day work week while maintaining high output.
