Job Title: Catering & Sales Coordinator
Location: Long Island Marriott Hotel & Conference Center – Uniondale, NY
Reports To: Director of Sales & Marketing / General Manager
Position Summary
The Catering & Sales Coordinator supports group sales, catering events, and marketing initiatives by coordinating client needs from inquiry through execution while supporting revenue generation, guest satisfaction, and operational excellence. This role serves as a liaison among clients, Sales, Banquets, Front Office, and operational departments to ensure seamless event planning, accurate documentation, and exceptional service delivery.
This position combines event coordination, group sales support, administrative organization, and digital marketing support in a fast-paced full-service hotel environment.
Key Responsibilities
Catering & Event Coordination
Coordinate weddings, corporate meetings, social events, and group functions from planning through post-event follow-up
Meet with clients to review event details, logistics, timelines, and service expectations
Prepare banquet event orders (BEOs), group resumes, rooming lists, and event documentation
Work closely with Banquets, Kitchen, Front Office, and third-party vendors to ensure flawless execution
Conduct site visits, assist with event set-up oversight, and provide event-day coordination support
Monitor event changes and ensure all departments receive timely communication
Support menu planning, pricing, and event budgets while helping drive profitability
Sales & Administrative Support
Prepare proposals, contracts, agreements, and client correspondence
Support group blocks, reservations coordination, and billing accuracy post-event
Help manage accounts receivable follow-up and aging accounts
Assist with lead generation efforts and maintain relationships with new and repeat clients
Participate in sales calls, property tours, and promotional activities
Support trade shows, community outreach, and networking events as needed
Marketing & Digital Support
Assist with hotel website, OTA content, and social media updates
Support newsletters, promotions, digital campaigns, and content creation
Help monitor social media engagement, guest inquiries, and online reputation channels
Support marketing analysis, reporting, and KPI tracking related to business development efforts
Qualifications
2+ years of hotel catering, sales support, event planning, or hospitality coordination experience preferred
Full-service hotel experience strongly preferred
Strong organizational skills and attention to detail
Ability to manage multiple priorities and deadlines simultaneously
Excellent written and verbal communication skills
Proficiency in Microsoft Office (Excel, Word, PowerPoint) required
Experience with hotel sales/catering systems preferred (Delphi, CI/TY, Visual Matrix, or similar)
Knowledge of digital marketing or social media platforms a plus
Bachelor’s degree in Hospitality, Marketing, or related field preferred
