The Senior Construction Administrative Assistant plays a key role in supporting project delivery across multiple construction sites and initiatives. Reporting directly to the Project Execution Manager, this position serves as the primary administrative point of contact for construction leadership, ensuring seamless coordination between internal teams, contractors, and vendors. The ideal candidate is highly organized, proactive, and capable of managing complex administrative and project coordination tasks in a fast-paced construction environment.

Job requirements

  • Minimum 7 years of administrative experience, including at least 3 years supporting construction or project management teams.
  • Demonstrated experience managing multiple priorities in a fast-paced, deadline-driven environment.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Experience with project management or construction software (e.g., Procore, Smartsheet, Bluebeam, or similar) preferred.
  • Strong organizational and multitasking abilities with exceptional attention to detail.
  • Excellent communication and interpersonal skills; able to interact effectively at all organizational levels.
  • Proven ability to anticipate needs, take initiative, and exercise sound judgment in decision-making.
  • Professional demeanor with a focus on quality, accuracy, and efficiency.
  • Ability to handle sensitive and confidential information responsibly.
  • Dependable, resourceful, and capable of supporting multiple leaders simultaneously.

Other important requirements:  

  • Pre-employment screening, including background check and substance testing may be required according to company policies. 
  • Must provide own steel-toed work boots; other PPE will be supplied.
  • Must be able to reliably commute to the work site daily or have plans to relocate before starting work.

Job responsibilities

  • Partner with construction leadership to support project planning, budget tracking, and cost reporting.
  • Develop and maintain capital expenditure and project cost tracking reports with strong attention to financial accuracy.
  • Prepare, coordinate, and distribute detailed construction progress reports, schedules, and meeting minutes.
  • Manage project documentation workflows, including RFIs, submittals, transmittals, and other project-related correspondence.
  • Oversee procurement and vendor coordination, including purchase requisitions, purchase orders, and invoice processing.
  • Lead administrative processes for construction management meetings—schedule, prepare materials, take minutes, and track follow-up actions to completion.
  • Assist in developing and implementing improved administrative processes to increase efficiency and consistency across projects.
  • Maintain organized electronic and physical filing systems for project records, permits, and correspondence.
  • Support construction analytics and reporting by gathering data and maintaining progress dashboards.
  • Coordinate travel, site logistics, and onboarding support for project team members and contractors.
  • Manage safety-related documentation, including Site Docs entries, safety meeting logs, and compliance records.
  • Handle confidential information with professionalism and discretion.
  • Serve as a key point of contact for internal and external inquiries, ensuring prompt and professional communication.

Compensation 
  • The expected hourly rate for this role is $31.00 USD.
    • Actual compensation will be determined based on factors such as experience, qualifications.
  • 15% night-shift premium for eligible roles, when applicable
  • Overtime compensation for non-exempt workers for hours worked over 40 per week
  • Relocation and Living-out-allowance (as applicable and based on successful candidate circumstances)
