R.R. Cassidy, Inc., is searching for an Administrative Assistant. The Administrative Assistant supports daily office and project operations within a construction company. This role requires strong organizational skills and the ability to coordinate between office staff, project managers, subcontractors, and clients. Schedule is Monday – Friday 8 am – 5 pm.
- Answer phones, emails, and route inquiries to appropriate staff
- Support project managers with scheduling, documentation, and reporting
- Prepare, organize, and maintain project files (contracts, permits, blueprints, submittals)
- Track project timelines, deadlines, and progress updates
- Assist with bid preparation, proposals, and document submissions
- Coordinate communication with subcontractors, vendors, and suppliers
- Process invoices, purchase orders, and expense reports
- Maintain compliance records (licenses, insurance certificates, safety documents)
- Schedule inspections, deliveries, and site visits
- Order office and job site supplies
- High school diploma or equivalent (associate degree preferred)
- 1–3 years of administrative experience (construction industry preferred)
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong multitasking and time management skills
- Excellent communication and coordination abilities
- High attention to detail and problem-solving skills
