Construction Project Coordinator

We are currently seeking a talented and experienced Construction Project Coordinator to join our team of professionals.  This position offers great opportunity for dynamic, motivated self-starters to work on a variety of work assignments. Responsibilities:
  • Serve as the primary liaison between City officials, project owners, and contractors to facilitate clear communication and issue resolution.
  • Coordinate and, when needed, lad project kickoff meetings with municipalities, owners, contractors, subcontractors, threshold inspectors, and special inspectors.
  • Organize and coordinate onsite kickoff meetings with all required stakeholders and internal staff.
  • Notify engineering teams and inspection departments of project start and end milestones, including Threshold and Engineer Oversight requirement.
  • Act as a central point of contact for clients, providing guidance on inspections, permitting processes, plan submissions, and internal procedures within scope. 
  • Coordinate meetings requested by owners or contractors post permit issuance, ensuring appropriate internal teams are included (inspectors, plan reviewers, expeditors, and management).
  • Monitor and communicate upcoming permit expirations throughout the lifecycle of the project.
  • Verify all issued permits are accurately entered and maintained within internal tracking systems.
  • Maintain organized and up-to-date project logbooks, ensuring all permits and inspections are properly documented and categorized.
  • Confirm third-party logbooks are current, accurate, and available as required.
  • Coordinate with expeditors and logistics teams to ensure permit documents are available onsite, including arranging courier services when necessary. 
  • Track project status prior to master permit issuance, identifying potential delays or issues to ensure a smooth transition into active construction and inspection phases.
  • Proactively encourage contractors and stakeholders to maintain timely communication with inspection teams regarding new permits and project updates.
Skills:
  • Excellent communication and interpersonal skills with the ability to manage multiple stakeholders.
  • Highly organized with strong attention to detail and documentation accuracy.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Proficiency in Microsoft Office and project tracking systems.
Education & Experience
  • Experience in construction, permitting, inspections, municipal operations, or related field preferred.
  • Strong understanding of permitting processes and construction project lifecycle is a plus.
  • Valid driver’s license with an acceptable driving record.
