Client Service Representative
馃挋 About the Role
At our clinic, pets are family鈥攁nd their people deserve exceptional care, too. We鈥檙e looking for a compassionate, organized, and upbeat Customer Service Representative to be the friendly face and reassuring voice our clients trust.
You鈥檒l be the first hello when clients walk through the door or call with questions, helping keep our hospital running smoothly while making every pet parent feel heard, supported, and cared for.
Primary聽Responsibilities:聽
- Greet clients and patients warmly, providing professional, empathetic, and attentive service聽while answering in-person inquiries promptly.聽
- Complete patient check-in and check-out efficiently while serving as a liaison with hospital staff and communicating real-time patient status and flow changes.聽
- Maintain client communications via phone, email, and mail, including follow-ups and thank-you messages.聽
- Schedule,聽confirm,聽and forward book聽appointments,聽routing聽requests appropriately; triage patients based on urgency.聽
- Communicate clearly about hospital services, wellness care, vaccinations, diagnostics, surgical aftercare, and specialty packages.聽
- Handle sensitive situations (e.g., euthanasia, test results, payments) with tact and professionalism.聽
- Maintain聽accurate聽patient records, request and attach prior records, and ensure charges are captured.聽
- Complete cash reconciliation, end-of-day financial tasks, and bank deposits while accurately processing payments and refunds, including transactions through Care Credit and credit card terminals.聽
- Fill veterinary prescriptions accurately and provide instructions to clients.聽
- Assist聽with over-the-counter product sales and聽maintain聽inventory.聽
- Support veterinarians, technicians, and Practice Manager with patient care and administrative tasks.聽
- Maintain a clean, organized, and safe hospital environment; follow safety and hygiene protocols.聽
- Participate in opening, closing, and weekend duties as assigned.聽
- Perform all other duties as assigned.聽聽聽
馃惗 What We鈥檙e Looking For
- A genuine love for animals and the people who care for them
- Excellent communication skills and a friendly, calm demeanor
- Strong organizational and multitasking abilities
- Comfortable using computers, scheduling systems, and learning veterinary software
- Ability to stay composed in a fast鈥憄aced medical environment
- Previous veterinary or medical front鈥慸esk experience is a plus鈥攂ut not required
Qualifications:聽
- High school diploma or equivalent required.聽
- Previous聽experience working with animals preferred; veterinary or animal care background strongly valued.聽
- Basic computer聽proficiency, including the ability to use computer systems, email, practice management software, Microsoft Office applications, and basic scheduling tools.聽
- Accurate data entry and聽record-keeping聽skills.聽
- Able to perform basic math for cash handling, billing, and appointment management.聽
- Manual dexterity聽required聽for typing, filing, and handling patients or supplies.聽
- Strong written and verbal communication skills; able to communicate clearly with clients, team members, and veterinarians.聽
- Demonstrated ability to provide professional, empathetic, and client-focused service while聽maintaining聽composure in high-stress or emotionally challenging situations.聽
- Ability to lift and carry up to 50 pounds and safely handle animals up to 130 pounds.聽
- Comfortable sitting, standing, walking, bending, and kneeling for extended periods throughout the workday.聽聽
- Professional, neat appearance consistent with hospital standards.聽
Hours:聽聽
- Must be able to work a flexible schedule and be available for scheduling during all hours the practice is open to support hospital operations聽
