RECEPTIONIST

Community Center

 

Statement of General Purpose

The Receptionist provides routine administrative support in Community Centers by handling telephone calls; greeting clients and visitors, and providing directions as needed; preparing, copying, filing, and distributing a variety of documents; maintaining logs and other records; handling mail and faxes; and assisting management as directed and in accordance with standard operating procedures.

 

Examples of Essential Functions and Responsibilities

  • Greets clients and visitors to the facility, and provides guidance and direction.
  • Answers telephone calls and routes callers to the appropriate party.
  • Prepares a variety of memos, letters, faxes, and other documents using computer or typewriter.
  • Photocopies documents as directed; ensures that copy machine is stocked with paper and toner; notifies facility management when service and supplies are required.
  • Handles mail and faxes and related communications; sorts, stamps, logs, and ensures delivery to the appropriate person.  
  • Maintains attendance logs and other records for employees, clients, and program participants.
  • Assists in preliminary screening and logging of new eligibility applications.
  • Ensures that facility has an adequate supply of required forms and other documents distributed from reception desk.
  • Ensures that reception area and lobby are neat, clean, and free from unnecessary or unsafe congestion.
  • Performs related work as required.

 

Core Competencies

  • Familiarity with general office policies, procedures, and work methods.
  • Ability to communicate effectively with employees, clients, program participants, and others in a positive, pleasant, professional, and productive manner by telephone, in writing, and in personal contacts.
  • Ability to produce letters, memos, and other documents on a personal computer or typewriter; familiarity with Microsoft Word applications.

 

Minimum Qualifications

  • High school diploma or G.E.D., and
  • One (1) related experience in an office environment, or
  • Any equivalent combination of acceptable training, education, and experience.

 

 

Special Requirements

  • This position includes the normal physical demands associated with work in an office environment, including lifting, bending, and carrying.
  • This position is subject to the overtime provisions of the Fair Labor Standards Act.
