About the Department
Salary: $24.00/hr.
To provide a wide variety of highly responsible and complex clerical and secretarial duties in the coordination of a department or division; to provide professional, effective and efficient public service assistance to the general public; and, depending upon assignment, to supervise, assign, review and participate in the work of staff involved in providing clerical and secretarial support to an assigned department.
SUPERVISION
General supervision provided by various Department Director or designee.
Position Duties
- All behaviors comply with the Code of Conduct and Rules of Behavior outlined in Chapter 8 of the General Government Policies and Procedures Manual.
- Depending upon assignment, may plan, prioritize, assign, supervise and review the work of assigned clerical staff; and provide training and direction as needed.
- Depending upon assignment, may oversee and participate in clerical and secretarial support work to assist designated department staff in the completion of their duties and responsibilities.
- May maintain work and leave time records such as monthly duty schedule and vacation and training schedules for various personnel; maintain and update personnel files as needed; prepare and maintain reimbursement and expense vouchers; and verify invoices and employee hours before disbursing payment.
- Compose, prepare and review a variety of memorandums, correspondence, reports, public notices and documents as assigned; complete various forms; prepare and distribute reports for review and use; prepare and maintain a variety of forms used by an assigned department; may coordinate payroll activities.
- Answer questions and provide information to the public; receive citizen and client complaints and questions; and provide assistance filling out City required forms as necessary.
- Prepare and maintain a variety of files and filing systems; prepare, maintain and update various records; research and verify information as requested; purge files as appropriate.
- Prepare materials and correspondence for distribution within the City and to other related external businesses and governmental agencies.
- Screen and direct calls and visitors as appropriate; schedule travel arrangements, reservations, daily operations or meetings as assigned.
- May Participate in annual department budget preparation and administration.
- Order and maintain office supplies and associated materials; maintain outstanding purchase orders for office supplies and associated materials.
- May serve as a Notary Public; notarize a variety of documents related to City business.
- Balance receipts for petty cash as needed; issue receipts for department services as necessary; coordinate disposition and sale of City-owned equipment as requested.
- Attend various meetings and take, transcribe and prepare minutes as appropriate; prepare agendas and associated materials.
- Assist with computer troubleshooting as necessary; assist with entering data into the computer system; backup files as requested; research various information as needed.
- Participate in the preparation of work schedules; assist in developing goals and objectives for the department's function; evaluate policies and procedures; implement new policies and procedures.
- Perform other duties as assigned.
Minimum Qualifications
EDUCATION
High School Diploma or GED.
EXPERIENCE
Two years of progressively responsible secretarial and clerical experience.
Two-year experience requirement shall include one year of lead or supervisory experience.
LICENSES AND CERTIFICATES
Possession of a valid driver's license.
If required, obtain a valid Notary Public Certification from the State of Texas within 20 working days of employment with the City of Mesquite. Failure to obtain certification will result in non-disciplinary termination.
WORK SCHEDULEMust work 40 hours a week, Monday through Friday 8am- 5pm.
