Position: Sales and Logistics Coordinator

Hourly Range: $31.25 - $32.50

Location: Waltham, MA (Hybrid – On-site Monday, Wednesday, Thursday)

Job Overview:

Pharmaron is seeking a highly organized and motivated Sales & Logistics Coordinator to join our Waltham team. This role is ideal for a professional who thrives in a fast-paced environment and enjoys combining client support, international logistics, data reporting, and commercial operations.

In this position, you will play a key role in coordinating global biological shipments, supporting trade compliance processes, partnering with Business Development teams, and ensuring an exceptional experience for clients across multiple regions.

Key Responsibilities

  • Coordinate international export shipments, including biological materials to China and other global destinations
  • Support clients with export documentation, shipping labels, and permit requirements
  • Partner with internal import/export teams to ensure timely customs clearance and delivery
  • Track inbound and outbound shipments, proactively resolving delays or discrepancies
  • Prepare monthly shipment activity and reimbursement reports using Excel
  • Create quotations, Statements of Work (SOWs), and client-facing documents
  • Serve as a primary contact for purchase orders, signatures, and customer follow-up
  • Act as liaison between clients and scientific teams during pricing and proposal discussions
  • Support Business Development leaders with Salesforce opportunity tracking and reporting
  • Build and maintain Salesforce dashboards to improve pipeline visibility and sales efficiency
  • Assist with monthly billing summaries for strategic clients

What We're Looking For:

  • Associate's or Bachelor's degree preferred, or equivalent relevant experience
  • 2 - 3 Years of experience in logistics, export operations, customer support, sales coordination, or related fields
  • Experience with regulated shipments, biotech, pharma, or healthcare industries preferred
  • Proficiency in Microsoft Excel and Word
  • Salesforce experience, including reporting and opportunity management, strongly preferred
  • Strong communication skills with a polished, client-facing approach
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced global environment
