The Switchboard Supervisor plays an important role in keeping communication and day-to-day operations running smoothly across USDC. This is a great opportunity for someone who is organized, enjoys helping others, and likes working behind the scenes to keep things on track.
The primary focus of this role is supervising the Switchboard and supporting the Switchboard staff. This includes ensuring the Switchboard is covered 24/7, which may occasionally require stepping in to fill shifts when needed. Technical responsibilities are trainable, but the ability to learn systems independently and pick up on new tools is important for success in this role.
In addition to Switchboard oversight, this position also assists with basic facility technology and communication tools such as TVs, tablets, WiFi support, and conference room equipment.
Key Responsibilities
Key responsibilities and day to day responsibilities of this position:
- Oversee daily Switchboard operations, including scheduling and coverage
- Ensure the Switchboard is staffed 24/7 and fill in when needed
- Support and guide Switchboard staff
- Ensure tasks are completed accurately and on time
- Maintain tracking systems (badges, vehicle checkout, on-call lists, driver eligibility, etc.)
- Coordinate and follow through on weekly tech and communication requests
- Help troubleshoot basic issues with TVs, tablets, conference rooms, and WiFi
- Assist with communication tools like boards and screensavers
- Keep systems like ECO Pass, Volgistics, and YubiKeys up to date
Qualifications
Minimum or "day-one" qualifications:
- Comfortable using computers, including Google Suite, Microsoft Office, and internal systems
- Able to learn new systems and tools quickly
- Basic troubleshooting skills for everyday tech issues
- Organized and detail-oriented
- Clear communication skills (written and verbal)
- Able to handle multiple tasks and stay on track
- Problem-solving skills and ability to stay calm in a busy setting
- Reliable and consistent
- Able to support and guide staff
- Supervisory experience
Preferred or trainable/on-the-job qualifications:
- Experience with switchboard or phone systems
- Experience with scheduling or 24/7 coverage
- Basic experience supporting workplace technology (TVs, tablets, WiFi, conference rooms)
About the Role
Incumbents in this job exercise considerable independent judgment in State office functions/specialties and perform the most complex production tasks requiring advanced office skills plus a comprehensive knowledge of pertinent rules, regulations, policies, and procedures. Incumbents may perform functional supervisory/lead worker responsibilities by prioritizing workflow, authorizing selected clerical procedures, ensuring quality control, and providing subordinates with on-the-job training or serve as the focal point for advanced agency-specific assignment(s). Incumbents process a variety of agency documents by reviewing for accuracy and completeness, updating information, evaluating against policy, comparing elements for consistency or logical relationship, and otherwise taking action where such procedures may require independent judgment. Exercises judgment in applying agency regulations, policies and procedures. Originates correspondence, documentation, and other written communication; provides the public and others with information and assistance to complete forms and applications; locates and assembles records and information which may be complex or difficult to identify, and which may require substantial research, judgment, and subject matter knowledge. Prepares and generates reports involving automated processes and thorough subject matter understanding. Other tasks may include, but are not limited to: performing basic accounting functions such as receiving and recording cash payments, basic bookkeeping, processing payroll, accounts payable/receivable, etc.; maintaining calendars, schedules and coordinating appointments, meetings, training, facilities and other activities; assists in the training of vendors and new employees; ensuring an adequate supply of materials by ordering, receiving, inspecting and storing equipment, merchandise, commodities, materials, and/or supplies.
