- Performs general clerical functions (e.g. bookkeeping, typing, filing, planning, organization, data collection, copying, faxing, scheduling, answering phones) for the purpose of supporting office operations.
- Serves as the primary point of contact for the Superintendent's Office and Board of Education, responding to inquiries, and ensuring effective communication.
- Manage and maintain the Superintendent and Board Member's calendars, including scheduling meetings and appointments.
- Coordinate Superintendent and Board Member travel, registration, and expenses, and assist with scheduling conferences and events.
- Draft and proofread correspondence on behalf of the Superintendent, including emails, letters and memos.
- Coordinate and attend meetings, taking minutes and ensuring follow-up on action items.
- Coordinates, plans, and organizes a variety of district-level events and activities on behalf of the Superintendent.
- Oversee election-related tasks, including candidate filings, public hearings, and coordination with local election authorities.
- Assist with training and onboarding new Board Members, including providing access to relevant platforms and resources.
- Maintain electronic and physical filing systems, ensuring all confidential records are handled with discretion and in compliance with district policies.
- Coordinate communication with district staff, parents, students, and external stakeholders on behalf of the Superintendent.
- Schedule and coordinate all Board of Education meetings, including regular, executive sessions, special, work sessions, retreats, and committee meetings.
- Prepare and post agendas for Board meetings, ensuring timely and accurate review, and notification to media, administration, and Board members.
- Take accurate meeting minutes and ensure timely distribution and posting of approved minutes.
- Monitor compliance with district policies, work with legal counsel, and maintaining upto-date policies and procedures.
- Maintain official records, including contracts, legal documents, and meeting minutes, both digitally and in paper format as required.
- Maintain and track the Superintendent's Office and Board of Education budget, ensuring all expenses are properly documented and processed in accordance with district policies.
- Serve as the Custodian of Records, assisting with preparing requests and communication with the requester, ensuring timely completion of all tasks in compliance with Missouri Sunshine Law.
- Access to Frontline, PowerSchool, Simbli, eFinance, Employee Access Center, etc. to best serve our staff and customers.
- Obtain and maintain notary status.
- Other duties as assigned and as outlined in board policy.

Qualifications:
Required: High School Diploma or equivalent. Ability to accurately type 50-60 words per minute, maintain an organized filing system, and ensure confidentiality. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Google Workspace (Sheets, Docs, Forms, Slides), have excellent time management and communication skills, prior successful experience in customer service, and the ability to operate general office equipment.
Preferred: 1-3 years of experience as an Administrative Assistant.

Purpose:
The Assistant to the Superintendent/Board Secretary/Custodian of Records serves to support the Superintendent and Board of Education in the daily operations of the district and in planning, implementation, direction, and maintenance of district programs by providing a wide variety of complex and confidential administrative and secretarial support. Responsibilities include: assisting with office tasks such as bookkeeping, typing, filing, planning, organization, data collection, copying, scanning, scheduling, and answering phones; serves as the primary point of contact for the Superintendent's Office; communicates on behalf of the district to staff, parents, students, and external stakeholders; and coordinates assigned projects and events.
This position is distinguished from other similar positions in the district by the following characteristics: this position is an executive level clerical support position requiring a high level of confidentiality, detail, knowledge and organization.
