Thrivewell Infusion is a fast-growing healthcare organization focused on delivering exceptional infusion services and patient support. As we continue to scale, we are looking for a highly organized and proactive Hiring & Onboarding Coordinator to own and streamline the recruitment and onboarding experience for all new hires across the organization.
This role is ideal for someone who thrives in operations, loves creating structure, communicates professionally, and can manage multiple moving pieces while ensuring candidates and new hires have a positive experience from application through onboarding.
Position Summary
The Hiring & Onboarding Coordinator will manage the full-cycle administrative recruitment and onboarding process for all positions within the organization. This individual will partner closely with department leaders to support hiring needs, maintain recruiting workflows, coordinate interviews, prepare offer documentation, and ensure a smooth onboarding experience for new employees.
This is a high-visibility operational role requiring strong attention to detail, organization, follow-through, and professionalism.
Responsibilities
Recruitment & Hiring Coordination
- Create and post job advertisements across hiring platforms
- Monitor applicant pipelines and review incoming resumes
- Conduct initial candidate screenings and phone interviews
- Coordinate interviews between candidates and hiring managers
- Maintain recruiting trackers and hiring documentation
- Ensure timely communication with candidates throughout the hiring process
- Draft and send offer letters and employment documentation
- Support hiring managers with recruiting workflow updates and status tracking.
Onboarding & New Hire Administration
- Coordinate onboarding for all new employees
- Prepare and distribute onboarding paperwork and new hire documentation
- Ensure completion of required employment forms and compliance items
- Schedule onboarding meetings and orientation sessions
- Partner with Operations, HR, and IT to ensure new hire readiness
- Track onboarding completion and maintain employee records
- Support process improvements for onboarding workflows and hiring systems
Operational Support
- Maintain hiring metrics and recruitment tracking reports
- Assist with updating SOPs and onboarding materials
- Help improve hiring efficiency and candidate experience
- Support additional people operations and administrative projects as needed
Qualifications
- 2+ years of recruiting coordination, onboarding, HR coordination, or operations experience preferred
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to manage confidential information professionally
- Experience coordinating multiple priorities in a fast-paced environment
- Proficiency in Google Workspace, Microsoft Office, and applicant tracking systems preferred
- Healthcare or high-growth startup experience is a plus
- Self-starter with strong attention to detail and follow-through
