The Essentials Accountant serves as a Full-Charge Bookkeeper, providing highly skilled accounting and exceptional service to Auxilio clients. This role takes ownership of the full accounting cycle from daily transactions to month-end close and financial reporting. Responsibilities include managing all aspects of accounts payable, accounts receivable, payroll processing and oversight, general ledger accuracy, adjusting entries, and preparation of financial statements. The Full-Charge Bookkeeper is the primary owner of the client relationship, ensures financial integrity, supports year-end audit and tax preparation, and represents Auxilio with professionalism, accuracy, and excellence.

We're looking for candidates residing and working in CO, DC, FL, GA, ID, KY, MA, MD, MO, NC, NJ, PA, SC, TN, TX, and VA. Duties/Responsibilities:
Accounts Payable & Accounts Receivable
- Manage the full A/P and A/R processes, including vendor relations, invoice processing, bill payment, and ensuring timely disbursements.
- Maintain accurate reports and proactively communicate issues and solutions to clients.
General Ledger & Monthly Close
- Reconcile all bank, credit card, and control accounts (A/R, A/P, and inventory when applicable).
- Maintain and balance the general ledger to ensure accuracy across all accounts.
- Prepare and post all necessary adjusting entries, including depreciation, accruals, prepaid expenses, and other non-routine journal entries.
Payroll
- Process, run, and/or oversee payroll for clients, ensuring compliance with payroll tax requirements.
- Review payroll registers and tax filings; coordinate closely with payroll platforms and ensure accuracy in employee compensation data.
- Financial Reporting
- Prepare complete monthly financial statements, including Income Statement, Balance Sheet, and supporting schedules.
- Summarize and interpret financial information for management and Partner Strategists, ensuring clarity, accuracy, and timely delivery.
- Identify trends and communicate irregularities or concerns with recommended actions.
- Lead quarterly check-in meetings with clients, walking them through financial reports, providing analysis and commentary, and answering client questions.
Year-End Responsibilities
- Gather and organize all year-end accounting data for external CPAs.
- Prepare supporting schedules, such as depreciation schedules and reconciliations required for annual filing.
- Provide necessary access and reports to contracted CPA during audits, 990 preparation for nonprofits, and other compliance activities.
Client Service & Communication
- Own the client relationship end-to-end, serving as their primary contact and proactively managing all aspects of their financial support.
- Identify with Essentials Manager any potential issues with client relationship, the need for a review of scope, and/or fees.
- Communicate regularly with clients, providing guidance, clarity, and responsive service while representing Auxilio professionally.
- Proactively identify risks, discrepancies, or opportunities for improvement in client processes.
- Maintain confidentiality and strong internal controls across all financial operations.
Administrative & Organizational
- Organize, plan, and prioritize workload to meet multiple deadlines and reporting cycles.
- Ensure adherence to Auxilio and client financial policies and procedures.
Qualifications
- Associate’s degree preferred or equivalent experience; additional accounting coursework strongly preferred.
- 3–5+ years of experience in full-charge bookkeeping or accounting roles.
- Strong understanding of GAAP, internal controls, and the full accounting cycle.
- Proficiency in QuickBooks Online and Bill.com or Ramp required.
- Experience with CRM systems and church management software (Planning Center, Bloomerang, etc) strongly preferred.
- Experience with online payroll systems is required, specific knowledge of Gusto a strong plus.
- Church, ministry, or nonprofit experience is highly desirable.

Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
