Job Title: Events and Execution Assistant
Location: Alabama Adventure and Splash Adventure Admin Office
Department: Group Sales
Reports To: Group Sales Manager


Position Summary:
The Events and Execution Assistant plays a key role in bringing group events and park experiences to life. This position supports the planning, coordination, and execution of group sales events from initial booking through day-of delivery, ensuring every guest interaction reflects the energy, professionalism, and fun that defines Alabama Adventure.


Working closely with the Group Sales Manager, this role serves as a bridge between guests, internal teams, and event logistics to ensure seamless, memorable experiences for every group that enters the park.

Key Responsibilities:


Event Coordination and Execution

  • Assist in planning and executing group events including corporate outings, school groups, youth programs, and celebrations
  • Lead or support day-of event execution, ensuring all elements are delivered accurately and on time
  • Serve as the primary on-site contact for group leaders during events when needed
  • Coordinate event spaces, catering, and group logistics to ensure a smooth guest experience
  • Support sponsorship or promotional activations within the park as assigned

Guest Experience and Group Support

  • Greet and welcome group guests upon arrival, creating a positive first impression
  • Direct groups to designated locations such as admissions, pavilions, or event spaces
  • Provide clear communication and assistance to group leaders throughout their visit
  • Respond to group inquiries via phone, email, or in person in a timely and professional manner


Administrative and Sales Support

  • Assist with preparing group orders, contracts, and event documentation
  • Process invoices and payments accurately and efficiently
  • Maintain organized and up-to-date records of all group bookings and communications
  • Support data entry and reporting related to group sales and event tracking


Team Collaboration and Communication

  • Act as a communication hub between Group Sales, Operations, Admissions, Food and Beverage, and other departments
  • Collaborate with internal teams to ensure all event needs are met and executed to standard
  • Support general office and administrative functions as needed
  • Assist with cross-department coordination to enhance overall park operations during events


On-Site Operations Support

  • Provide hands-on assistance during events across the park as needed
  • Help manage event flow, troubleshoot issues, and ensure guest satisfaction
  • Maintain awareness of park operations to support seamless integration of events into daily operations


Policies and Standards 

  • Follow all policies and procedures outlined in the Team Member Handbook
  • Maintain a professional appearance and positive attitude at all times
  • Uphold Alabama Adventure’s commitment to safety, service, and guest experience


Qualifications:
Must be at least 16 years of age
Strong communication and interpersonal skills
Ability to multitask and stay organized in a fast-paced environment
Comfortable working both independently and as part of a team
Strong attention to detail and problem-solving skills
Availability to work weekends, holidays, and peak operating days



Position Details:

· Part-time (flexible hours, including some weekdays and weekends as needed)

· Office space located within the Group Sales Department

· Training provided for invoicing and payment systems

Requirements

In order to be employed at Alabama Adventure & Splash Adventure:

  • adhere to uniform and grooming standards
  • have reliable transportation to and from the park

Most jobs are outdoors and require standing or walking for the entire shift. All jobs require keeping the park and workplace clean.
