On-Site Vendor Coordinator

GameChange Solar is seeking an On-Site Vendor Coordinator to support supply chain operations directly at our supplier locations. This role will serve as the key point of coordination between GameChange Solar and the vendor, ensuring alignment across production, logistics, and operational execution. The On-Site Vendor Coordinator will play a critical role in driving supplier performance, ensuring production readiness, coordinating shipments, and maintaining real-time communication between vendors and internal teams including Project Management, Commodity Management, and Logistics. This position is essential to ensuring that vendors meet GameChange Solar’s expectations for production, system utilization, shipment execution, and overall operational performance.


On-Site Vendor Coordinator Responsibilities:

  • Serve as the primary on-site liaison between GameChange Solar (GCS) and the supplier, supporting both Project Managers (PMs) and Commodity Managers (CMs).
  • Coordinate and manage day-to-day communication with the vendor, ensuring alignment on GCS expectations, priorities, and deliverables.
  • Ensure vendors are properly trained and actively utilizing GCS systems, including maintaining accurate and timely production updates.
  • Monitor and drive production readiness, working closely with vendors and Commodity Managers to ensure material is produced in line with project timelines.
  • Coordinate truck arrivals at the vendor site, ensuring loads are prepared and executed according to plan.
  • Oversee and verify the accuracy of truck loading, ensuring correct material, quantities, and specifications are shipped.
  • Partner with the Logistics team and brokers to ensure on-time shipment execution, proactively addressing risks that may impact pickups.
  • Review purchase orders against production output to ensure alignment between what was ordered and what is being produced and shipped.
  • Support vendor compliance activities, ensuring vendors meet GCS operational, contractual, and performance expectations.
  • Actively identify and communicate production, shipping, or operational risks, and work with internal teams and vendors to resolve issues before they impact delivery.
  • Maintain strong cross-functional alignment with PMs, CMs, Logistics, and Supplier Performance teams to support overall project execution.
  • Demonstrate a proactive, solution-oriented approach by identifying process gaps and implementing improvements to drive a more efficient and organized supply chain operation.


On-Site Inventory Coordinator Skills & Qualifications/Requirements:

  • Bachelor’s degree or equivalent relevant work experience
  • Experience in Supply Chain, Logistics, or Supplier Operations, with exposure to vendor coordination and commodity production processes
  • High proficiency in Microsoft Excel (data tracking, analysis, reporting) and working knowledge of Microsoft Word
  • Experience working with CRM/ERP systems, particularly NetSuite, preferred
  • Strong understanding of logistics coordination, production readiness, and supplier engagement
  • Excellent written and verbal communication skills, with the ability to effectively engage both internal teams and external vendors
  • Strong client service and relationship management skills, with a focus on building and maintaining productive vendor partnerships
  • Excellent time management and prioritization abilities, with the ability to manage multiple tasks in a fast-paced environment
  • Strong analytical and problem-solving skills, with the ability to identify issues and drive solutions
  • Highly organized and detail-oriented, with strong data tracking and process management capabilities
  • Ability to work independently with minimal supervision once trained, while maintaining accountability for on-site operations
  • Adaptable and eager to learn; a self-starter willing to take initiative and wear multiple hats as needed
  • Team-oriented with the ability to collaborate cross-functionally across Project Management, Logistics, Commodity, and Supplier Performance teams
  • Ability to think creatively and proactively, identifying process improvements to drive a more efficient and structured supply chain operation
