About the Role

The Payroll Manager is responsible for the end-to-end execution, accuracy, and compliance of payroll across a multi-state organization. This is a hands-on, detail-oriented role that partners closely with HR and Accounting to ensure team members are paid accurately, payroll data is properly recorded, and all processes remain compliant.

This individual brings deep expertise in Paycom (or similar systems), along with a strong understanding of general ledger (GL) configuration and the accounting impact of payroll transactions, including earnings, deductions, and tax codes.

 


Key Responsibilities

Payroll Administration & Processing

  • Manage and process full-cycle, multi-state payroll across multiple entities using Paycom
  • Ensure accurate calculation of wages, taxes, deductions, garnishments, and adjustments
  • Maintain and audit employee payroll records, including new hires, terminations, and compensation changes
  • Reconcile payroll prior to submission and validate post-payroll reports for accuracy
  • Own payroll timelines, accuracy, and issue resolution

Payroll Systems & GL Configuration

  • Configure and maintain payroll elements within Paycom, including earnings codes, deductions, and tax settings
  • Own and manage general ledger (GL) mapping within Paycom, ensuring payroll data is accurately reflected in financial systems
  • Understand and manage the accounting impact of payroll transactions, including how wages, taxes, and deductions flow through the GL
  • Partner closely with Accounting to ensure alignment, reconciliation, and accurate reporting
  • Identify and implement automation opportunities to improve efficiency and reduce manual work

Compliance & Risk Management

  • Ensure payroll compliance with federal, state, and local wage and hour laws and tax regulations
  • Stay current on regulatory changes impacting payroll, including multi-state considerations
  • Oversee payroll-related filings and reporting, including W-2s, garnishments, and unemployment claims
  • Conduct regular audits to ensure data integrity and adherence to internal controls
  • Maintain accurate documentation for audits, tax filings, and compliance reviews

Reporting & Analysis

  • Generate and maintain payroll reports for Finance and HR
  • Reconcile payroll data against the general ledger and financial reports
  • Support audit requests and provide payroll data insights as needed
  • Leverage reporting tools and Excel to improve visibility into payroll data

Process Improvement & Collaboration

  • Develop and maintain standard operating procedures for payroll workflows
  • Identify opportunities to streamline processes through automation and system optimization
  • Partner with HR and Accounting to proactively address payroll issues
  • Support organizational changes, including acquisitions or system updates, from a payroll perspective

Employee Support

  • Serve as a subject matter expert for payroll-related questions from employees and managers
  • Provide clear, timely communication regarding payroll matters
  • Deliver a high level of internal service aligned with a people-first culture

 


Qualifications

  • 3+ years of payroll experience, including management of payroll across multiple states
  • Advanced experience with payroll systems; Paycom strongly preferred
  • Demonstrated experience with GL mapping and understanding the accounting impact of payroll, including configuration of earnings, deductions, and tax codes
  • Deep understanding of federal and state wage and hour laws, tax regulations, and employment compliance requirements (California experience preferred)
  • Advanced proficiency in Excel, including indexing, complex formulas, and data reporting
  • Experience creating and managing HTML-based or payroll system-generated reports
  • Proven ability to leverage payroll system automation and employee self-service tools to drive efficiency
  • Strong analytical and problem-solving skills with exceptional attention to detail
  • Excellent communication, collaboration, and interpersonal skills
  • Ability to work independently in a remote, fast-paced environment

 


Preferred Qualifications

  • Experience in a high-growth environment
  • Certified Payroll Professional (CPP) certification
  • Prior partnership with Accounting or Finance teams on payroll reconciliation
