Unit Mission Statement:Student Unions & Engagement (SUE) cultivates intentional and inclusive experiences and physical spaces for all students to gather, enjoy, belong, and flourish at William & Mary.
Position Summary:
The Assistant Director shall report to the Senior Associate Director of Student Unions & Engagement, and assist with the development, administration, and implementation of engagement opportunities for all users of the Student Unions at William & Mary with primary focus on programming.
Specific responsibilities to include:
• Advise the Alma Mater Productions (AMP) Programming Board to support a robust educational, socio- cultural, and recreational programming calendar of over 90 events per academic year.
• Manage several budget and budgeting processes including contract and vendor relationship negotiations for budget in excess of $500,000 annually.
• Coordinate campus-wide events on behalf of AMP, Student Unions and Engagement, and/or university initiatives.
• Supervise the two Graduate Students and the Union Central games room operations including student staff.
• Provide oversight and management of marketing and social media for the department.
• Actively collaborate with other campus departments in support of programming initiatives for the college community.
• Other duties as assigned that forward the mission of Student Unions and Engagement.
Salary is $55,000-$60,000, commensurate with experience and internal alignment.
Job Description:
Required Qualifications:
Master’s degree or equivalent experience in college student development and/or event management.
Experience with oversight of student organization activities, programming, and events.
Demonstrated interpersonal, verbal, and written communication skills, with the proven ability to work collaboratively as a team player as well as develop and foster communication and teamwork with a diverse audience including students, staff, alumni, and the University community.
Strong problem-solving and analytical skills with the ability to exercise sound judgment when making decisions or recommendations.
Established organization skills with the proven ability to think creatively, balance competing priorities, and navigate complex situations within tight deadlines.
Ability to lift 40 pounds.
Preferred Qualifications:
Master’s degree in Higher Education Administration, Student Affairs, Student Personnel, Counseling, or Organizational Development.
Experience in college-setting student engagement environments (leadership development initiatives and student activities programs and services).
Demonstrated experience in marketing and/or graphic design.
Experience in budget management.
Demonstrated professional affiliation with the National Association for Campus Activities (NACA) or Association of College Unions International (ACUI).
Conditions of Employment:
This position is subject and will regularly require additional hours beyond the typical workday/week to included evenings and weekends.
This is a restricted position, subject to the continued availability of funding.
Flexibility to travel, and willingness and ability to use one’s own reliable personal transportation as required.

Job Duties:
35% - Engagement & Programming:
Serve as the primary advisor the Alma Mater Productions (AMP) Programming Board, a university-sponsored recognized student organization of over 60 students, hosting on average 50 events a year, attending weekly meetings and events, assisting with personal and academic concerns as needed.
Provide oversight for Union Central operations, including regular game tournaments, trivia nights, etc.
Oversee the programming and operation of the Hart Gallery. Increase campus exposure to the gallery while maintaining its status as the sole student-only art gallery.
Create and maintain vendor and community relationships, represent the University appropriately and professionally at national conferences and in international social networks.
Work independently in the creation, advisement, and execution of special events on behalf of AMP, Student Unions and Engagement, and/or university-wide initiatives. Engage with various constituent offices, departments, and student organizations throughout campus to provide pre-planning and onsite management of assigned events, resolving issues as they arise during planning stages and throughout the year.
Gather user input from all programming and provide innovative solutions and programming to maximize use and bolster student engagement.
25% - Student Staff Supervision:
Hire, train, and mentor two Graduate Assistants, including best practices for student development and higher education professionals while ensuring compliance with state and university policies regarding purchasing and event execution.
Supervise Union Central games desk student staff, scheduling day, night, and weekend shifts and training appropriately.
Supervise Hart Gallery Interns, responsible for producing a minimum of 4-6 student exhibits per year with student curators.
Provide opportunities for regular evaluation and feedback for all student employees.
Assist with the SUE student staff employment program. Responsible for development of an alumni network of student staff members through regular communication and affinity programming.
20% - Budget & Contract Management:
Sole management of operating budget exceeding $500,000 annually, including spending, tracking, and allocating across multiple indexes.
Manage multiple funding sources (auxiliary, revenue, foundation, etc.) including different spending, reporting and tracking measures in accordance with university and state procedures.
Execution of contract and event processes that highlight SUE facilities and are in compliance with State and University policies and procedures.
Oversight for risk management and liability reduction, ensuring safety of participants, performers, vendors, and attendees.
10% - Marketing:
Lead marketing and social media efforts for Student Unions & Engagement.
Create standards for marketing pieces and social media posts.
Establish student team to create and distribute content in various forms (press releases, social media posts, videos, flyers, etc.).
Design and communicate intra-departmental process for assigning and prioritizing social media and marketing requests.
Actively collaborate with other campus departments in support of programming initiatives and with the Senior Associate Director, develop a campus-wide programming calendar.
10% - Departmental Team Member:
Represent the mission, vision, and values of SUE & Student Affairs in working with students and other campus community members.
Contribute to and support departmental and division mission, strategies, goals, aspirations, and core values.
Actively participate in departmental strategic and assessment planning.
Proactively assist with departmental and university student development.
Provide strategic leadership in support of department-wide and campus-wide programs.
Regularly attend all staff meetings, and other department programs as assigned.
Serves on Division-wide and University-wide committees both voluntarily and as appointed.
