The Team

Our German office is rapidly growing, and we are looking for an enthusiastic, proactive, and collaborative Executive Assistant (m/f/d) to join our team. You will be part of a dynamic environment that values diversity and provides equal opportunities for growth and advancement. The team focuses on supporting senior professionals and ensuring smooth operations within the business unit.

How you will contribute

We are looking for someone to provide comprehensive support to our Managing Directors and their teams within one of our business units. You’ll play a key role in ensuring smooth operations, managing schedules, facilitating internal communications, and providing vital administrative support.

  • Scheduling & Coordination: Manage the Managing Directors' calendars, organize meetings, and ensure efficient communication across teams

  • Project & Event Support: Assist in setting up projects and coordinating internal and external events

  • Financial Administration: Process incoming invoices, prepare time and expense reports, and raise client invoices

  • Travel & Logistics: Coordinate travel arrangements, including flights, accommodations, and transportation

  • Onboarding Support: Work closely with HR to assist with the onboarding of new team members, and act as their first point of contact

  • CRM & Marketing: Support marketing initiatives by tracking activities using Salesforce

Qualifications

  • Previous experience in an administrative or executive assistant role, ideally supporting senior professionals

  • Strong interpersonal skills, with the ability to handle sensitive and confidential information with discretion

  • Excellent communication skills (both written and verbal), fluency in German and English

  • Organizational talent, with the ability to manage multiple priorities, tight deadlines, and shifting tasks with ease

  • Proactive, solution-oriented mindset with a desire to make a meaningful impact

  • Comfort working both independently and as part of a collaborative team

  • Proficiency in MS Office and familiarity with Salesforce is a plus
