    Manager of Board Services

     

    Position Summary:

     

    The Manager of Board Services supports the Board of Education and the Director of Board Services by ensuring efficient, transparent, and compliant operations of the Office of Board Services. This role provides responsive service to Board members and district staff, maintains clear governance systems, and upholds the statutory responsibilities of the Deputy Board Clerk, including acting on behalf of the Director when delegated. Through strong communication, professionalism, and operational excellence, this position helps create the conditions for effective governance and improved student outcomes.
     

     

    Essential Duties:

     

    Great Teaching & Learning (Instructional Infrastructure):

    • Participates in ongoing professional learning related to board governance, parliamentary procedure, and state/federal education laws.

    • Assists in developing and delivering onboarding and orientation training for new Board members.

    • Serves as Assistant BoardDocs Administrator, providing training and technical assistance to users.

    • Stays current on policies, laws, and best practices related to Board operations, open meetings, and records management.

    • Seeks opportunities to improve systems and processes through feedback, reflection, and professional development.

    • Provides professional, timely administrative and logistical support to all Board members to ensure they have the resources and information needed to fulfill their roles.

    • Coordinates Board member travel, conferences, and related logistics with attention to detail and service.

    • Manages correspondence and communication between the Board, district staff, and external partners, ensuring clarity, respect, and responsiveness.

    • Assists the Director in onboarding and supporting Board members to ensure confidence and effectiveness in their governance responsibilities.

    • Tracks and reports Board member training compliance and communicates progress and options to promote growth and development.

    • Prepares, reviews, and posts Board meeting agendas in accordance with the Open Meeting Act and district policy.

    • Coordinates meeting logistics, technology, and security to ensure smooth and efficient operations.

    • Maintains accurate, legal records of proceedings and ensures proper filing of regular, special, and emergency meeting notices.

    • Executes legally binding documents approved by the Board; applies the District Seal and signs as Deputy Board Clerk to attest official actions.

    • Maintains the central repository of official Board documents and assists the Director of Board Services in fulfilling Custodian of Records duties.

    • Coordinates due process hearings in collaboration with the General Counsel and ensures compliance with statutory requirements.

    • Processes financial transactions with accuracy and transparency.

    • Conducts research and prepares reports at the direction of the Director of Board Services.

    • Supports interdepartmental efficiency by assisting colleagues during peak workload periods.

    • Attends all Board meetings and upholds the highest standards of professionalism and discretion.

    • Coordinates Board members’ event participation, invitations, and external engagement to foster positive community relationships.

    • Maintains up-to-date and transparent content on the Board’s public-facing website to strengthen trust and accessibility.

    • Promotes teamwork, respect, and a service-oriented mindset in all interactions with Board members, staff, and community partners.

    • Contributes to a culture of excellence, collaboration, and continuous improvement within the Office of Board Services.

    • Performs other duties as assigned in alignment with the district’s mission and values.
       

     

    Minimum Qualifications (Knowledge, Skills and/or Abilities):

     
    • Bachelor’s Degree in Public or Business Administration or related field

    • Minimum of three (3) to five (5) years of progressively responsible experience in administrative, administrative support, or office management roles.

    • Demonstrated skills in planning, organization, decision-making, problem-solving and compliance.

    • Ability to maintain confidentiality, exercise sound judgment, and manage multiple priorities with accuracy and professionalism

    • Effective oral and written communication skills.

    • Strong interpersonal skills.

    • Knowledge of Oklahoma Open Records and Open Meetings Acts.

    • Skilled in the use of technology, including mobile, web, and software platforms such as Microsoft Office and Google Workspace. 

     

    *Relevant experience may be substituted for formal education at a 2:1 ratio.  Therefore for every 1 year of college lacking, 2 years of directly relevant experience may be substituted.

     

    Physical/Mental Requirements:   

     
    • Must have adequate manual dexterity to write legibly and perform required duties on the computer.  

    • Must have adequate visual acuity to read, interpret and transcribe written material and other required duties. 

    • Requires normal range of hearing and clear speaking abilities to interact appropriately with others in person and on the telephone. 

    • Requires some stooping, bending, stretching and occasional lifting not to exceed 25 pounds.  

    • Sitting for prolonged periods of time.

    • May periodically require work outside of normal business hours, including weekends, under sometimes. stressful conditions in order to meet business needs and strict deadlines.
