Job Description

Heartwood, a senior living community is seeking a full time Office Manager to handle all revenue-generating functions, process monthly rent and ancillary charges, maintain financial records, and ensure accurate resident billing. Full time position, Monday - Friday. Salary range: $29.68 - $34.92 per hour depending on experience.

Responsibilities:




  • Ensure resident and payer setup in the software is accurate and complete from the outset, recognizing the downstream impact of setup errors on billing accuracy, collections, and resident trust.

  • Bill Assisted Living, Skilled Nursing and Elderly Waiver services accurately and timely.

  • Audit accounts regularly to ensure all services are billed accurately and timely, minimizing rework, corrections, and avoidable confusion for residents and families.

  • Apply payments (ACH, EFT, cash, checks) accurately and promptly.

  • Maintain appropriate DSO and timely collections.

  • Monitor billing trends, aging, and collection patterns; take timely corrective action and escalate issues as appropriate to minimize unresolved balances.

  • Ensure accurate setup of resident rent and service charged and correct entry of EW authorizations.

  • Maintain accurate financial recordkeeping, including ledgers, receipts, cash journals, deposits, purchasing, and accounts payable.

  • Maintain a welcoming, high-quality service environment with effective communication to residents, visitors, and staff.

  • Ensure compliance with regulations and administrative best practices.

  • Use independent judgment to evaluate options and make decisions.

  • Maintain positive customer relationships and uphold resident rights and confidentiality.
