Job Title: Program Coordinator

 Position Summary:

Under the direction of the Puyallup Language Program Director the Puyallup Language Program Coordinator is responsible for assisting the Program Director administratively, coordinating the txʷəlšucid language classes and events, creating materials, and creating and maintaining a database.

Essential Duties and Responsibilities:
  1. Coordinates txʷəlšucid language classes and events. Schedules location, times and works with Director to schedule Language Teachers for each event.
  2. Coordinates inter-tribal events and trainings for all staff.
  3. Acts as the main contact for all department classes and events. Responds to inquiries for class requests, gathers details for Director’s approval of class/event.
  1. Assists Teachers with developing and formatting txʷəlšucid materials for language learning.
  2. Reviews Lushootseed materials as requested by the Director. Creates and maintains Language Program Policies as directed by Director.
  1. Creates and maintains language material filing system and database.
  1. Collects and manages Language Program data and database, including all translated documents, curriculum, etc.
  2. Collects and tracks Language service data, including students, classes, users and certifications. 
  3. Processes payment of invoices and purchases and budget modifications. Monitors the department budget on behalf of Director.
  4. Compiles data and assists in the creation of the quarterly report for Program Director to be provided to Tribal Administration and Council.
  5. Assists in grant application process and the timely completion of each grant. This includes, working with the Grants department on applications, writing reports, tracking data and department outcomes, and ensuring the departments meet all expected deadlines.
  1. Coordinates all steps of the Teacher Certification Program. Ensures applicant completes all steps by required deadlines.
  2. Makes recommendations on department processes and procedures to the Director, including Language expansion, Teacher Certification and translation processes/procedures.
  3. Provides administrative duties that include: making copies, picking up and delivering materials to the community, processing purchase orders and payments, maintains inventory, and prepares a variety of letters/correspondence, reports, memoranda, forms and other related information as needed.  
  1. Coordinates scheduling of meetings, takes meeting minutes and distributes to staff.
  2. Other duties as assigned.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Qualifications and Requirements

Education and/or Experience

Must have an Associate’s Degree and six months of office related work experience or equivalent combination of education and experience. Knowledge and experience using general office equipment such as copy machine, scanner, fax machine, etc. required.  Must be able to accurately type 35-40 WPM; required to demonstrate intermediate knowledge in Microsoft Office. 

Must complete a Level 1 txʷəlšucid Language proficiency (Non-Credentialed) in a one year period of employment with the Language Program

Knowledge of Puyallup Tribal history, culture and community.

Language Skills

Ability to respond to common inquiries or complaints from the community. Ability to communicate effectively in person, by phone, in writing or other. Ability to read and comprehend instructions, correspondence, and memos.  

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations. Ability to utilize technology and software as it pertains to program operations and language development.

Other Requirements

Strong organizational skills.

Must be able to pass a background check.

Must have and maintain a valid and unrestricted Washington State driver’s license. Driver’s license must not contain any restrictions that would prevent the employee from driving a GSA vehicle.
