Job Description

Position Overview:



Staff in this position is responsible for management of the day-to-day activities and programs for assigned facilities. The staff member acts on behalf of ComServ in general operation of the facility and within established guidelines. Is responsible for supervision of direct support staff working in the facilities. Is responsible for the safety and well being of all individuals living in the facilities. This position is under direct supervision of the responsible Qualified Professional.



 



Essential Duties & Responsibilities



 



Administration:




  • Prepares or reviews and submits required documentation for reimbursement of work-related mileage, use of PTO, vehicle maintenance reports, safety and environmental checks and any other required reports accurately and on a timely basis. Review for accuracy and sign any reimbursement request from assigned staff.

  • Assists in the new hire process by reviewing applications, scheduling initial and follow-up interviews with potential applicants selected for interviews.

  • Adheres to steps described in ComServ, Inc. policy related to new hires and submits necessary documentation required in policy.

  • Prepares and submits Payroll Forms promptly when there are changes in status, address, name, rate of pay, leave or separation of employment.

  • Reviews and submits accurate weekly documentation for services provided.

  • Adheres to all regulatory standards, organizational policies and procedures and monitors compliance across shifts. (i.e. active treatment, fire drills and disaster drills, confidentiality)

  • Acts as safety officer for the facility and reports any problem areas to the supervisor.

  • Ensures purchase of necessary food, cleaning supplies, completion of work orders, etc. in order to maintain and provide a clean, secure home environment for the individuals.

  • Ensures petty cash is managed appropriately, accurately, and completes any request for additional petty cash. Submits receipts and required documentation for petty cash or cash advances in a prompt and timely manner.

  • Obtains approval through a purchase requisition/purchase order and submits invoices for expenditures to accounts payable within timeframe required.

  • Implements and adheres to ComServ, Inc. policies and procedures.

  • Ensures that all monthly fire and disaster drills are completed on time and appropriately, according to regulations.

  • Schedules health and fire inspections per regulations and reports any demerits to supervisor. Provides copy of inspection to Regional Service Director for submission with annual licensure renewal.

  • Gathers and reviews documentation for accuracy and completeness and sends data to Reimbursement Officer, if applicable.

  • Maintains and utilizes the home and other company property entrusted to your care. Purchases, distributes, and supervises the use of resources such as, but not limited to, food, supplies, clothing, small equipment items and other appropriate needs for the program/individuals.



 



Supervision:




  • Provides on-call coverage to staff working in the facility 24 /7. Delegates coverage as needed and as approved.

  • Maintains an accurate and complete staff schedule to ensure proper coverage in the facility and minimize use of overtime for coverage and post the schedule with any changes weekly.

  • Reviews time entered in MITC to ensure accuracy and completeness of time entered.

  • Ensures all edits are complete and accurate and approved accordingly in MITC.

  • Adheres to ComServ, Inc. policy and procedure regarding new hire and other personnel processes related to staff supervised.

  • Ensures that staff have thorough knowledge of human rights and assures protection of those rights through monitoring and follow-up as appropriate.

  • Ensures that staff supervised are notified to attend all mandatory training and meetings.

  • Ensures that individuals attend all medical appointments.

  • Provides guidance, support, supervision, motivation and positive attitude to and for staff in order to promote a team based environment.

  • Ensures that staff supervised including self are provided training according to the Person Centered Plan/Individual Program Plan/Crisis Plan/Behavior Support Plan.

  • Ensure that staff supervised and self are training goals provided in the Person Centered Plan/Individual Program Plan/Crisis Plan/Behavior Support Plan.

  • Recommends and takes any action required regarding job performance and completes the documentation in coordination with the Qualified Professional and Human Resources Director.



 



Regulatory:




  • Ensures that all medication administration policies are followed.

  • Ensures that all licenses are displayed appropriately for the facilities.

  • Monitors compliance with all licensure and regulatory standards and follow-up on all programmatic recommendations and plans correction. Keeps supervisor and Regional Service Director apprised.

  • Have a working knowledge and adheres to all ComServ, Inc. Policies and Procedures.

  • Adheres to all local, state, NCDHHS, DHSR, LME/MCO and CARF Standards.

  • Ensures that all annual county inspections are scheduled and completed.



 



Documentation:

  • Documents program specific information per rules and regulations of the service provided in the facility.

  • Provides information for competency files as needed.



 



Clinical:




  • Monitors supply of medications and reports needs to nursing staff/supervisor.

  • Monitors and orders all liquid medications and treatments as needed. Transports medications to appropriate homes to be placed in medication boxes per regulations. Is accountable for medications by signing sign-out sheet provided by supervisor/nursing staff.

  • Responsible for ensuring medication is picked up from the pharmacy in an emergency situation on instruction from supervisor/nursing staff.

  • Participates in the Person Centered Planning process.

  • Acts as a member of the Interdisciplinary Team if applicable to the facility.

  • Trains, teaches and monitors goals and programs specific to the individuals served.

  • Attends all interdisciplinary team meetings as scheduled.

  • Attends all Clinical Team meetings.

  • Monitors facilities periodically (AM, PM and weekends) while individuals are present.

  • Ensures that individuals in the facilities have opportunity to integrate into the community, to decorate their bedrooms, shopping for personal items and make other personal choices.

  • Ensures that individuals living in the facility have input into daily living activities through self-governance meetings.

  • Participates in admissions and discharge committees as requested by supervisor and/or Regional Service Director.

  • Ensures all staff supervised attend all mandatory pre-service and annual recertification training.

  • Reports all human rights violations to the Supervisor/Administrator on call.

  • Be aware and respect cultural diversity.



 



Direct Support:




  • Provides direct support as needed or when deemed necessary by supervisor.



 



Other:




  • Employee in this position must be flexible with schedule and make changes as requested or required by position; responsibilities to include all shifts, weekends, holidays and after hours.

  • Participates in committees as assigned by supervisor and/or Regional Service Director.

  • Completes and submits timely, accurate and complete documentation necessary for processing.

  • Attends all organizational training required for position. Attends all outside training and education as approved by supervisor and/or Regional Service Director.

  • Participates in company functions as directed by your supervisor and/or Regional Service Director.

  • Acts as a role model for other ComServ, Inc. staff and individuals receiving services.

  • Maintains formal and informal contacts with the legally responsible parent or guardian as needed and assigned by supervisor.

  • Ensures and supports cultural competency in conducting responsibilities that is reflective of the community and individuals served in regard to culture, race, ethnicity, age, gender, sexual orientation, spiritual beliefs, socioeconomic status, and language.
