Job Description

The Management Team Assistant provides advanced administrative, organizational, and operational support to Management Team. The role ensures the smooth functioning of the Management Office by coordinating high‑level activities, safeguarding confidentiality, preparing executive‑level documentation, and enabling effective decision‑making across the leadership team.

            If you think you'll like to manage the following responsibilities at higher standards:

  • Manage complex calendars for multiple managers, including cross‑functional meetings, leadership engagements, and executive reviews.

  • Prepare, structure, and distribute agendas, minutes, and follow‑ups for management meetings.

  • Coordinate high‑level presentations, briefings, and business documents with excellent accuracy and formatting.

  • Ensure all leadership meetings and events run smoothly (room setup, logistics, materials, access).

  • Track action items issued during steering meetings and follow-up with stakeholders to ensure timely closure.

  • Forecast and follow-up General Administration budget

  • Act as a communication bridge between the Management Team and internal/external stakeholders.

  • Handle sensitive information with high professionalism, discretion, and confidentiality.

  • Draft professional correspondence on behalf of Plant Manager (emails, memos, notifications).

  • Support travel planning for the management team, including itineraries, bookings, and expense reconciliation

     and if you have/are:

  • Bachelor’s degree preferred (Business Administration, Communication, HR, or similar).

  • 3+ years of experience in an administrative or executive assistant is an advantage

  • Experience supporting management or leadership teams is a strong advantage.

  • High proficiency in Microsoft 365, especially Outlook, Excel, PowerPoint, Teams, and SharePoint.

  • English – advanced, both verbal and written

  • Strong document creation, formatting, and presentation skills for executive-level quality.

  • Experience with ERP systems (e.g., SAP/Oracle) is an advantage.

  • Ability to consolidate data and prepare reports or dashboards.

  • Exceptional communication and relationship-building skills.

  • Business understanding and organizational awareness.

  • Discretion, integrity, and a high level of confidentiality.

  • Excellent prioritization and time‑management abilities.

  • Proactive mindset with the ability to anticipate needs.
