Summary:


The Secretary to the Pupil Services Department provides comprehensive administrative support to ensure the efficient operation of the department.


 


Essential Duties and Responsibilities:


The employee will be required to be consistently at work and perform any other position-related duties requested by the Assistant Director and Department Supervisors. Below is an illustration but not exclusive or limited to:



  • Coordinate meetings for the Assistant Director of Pupil Services, including scheduling, location logistics, participant coordination, and agenda preparation.

  • Provide administrative support, including typing, filing, managing correspondence, and handling confidential materials.

  • Screen incoming calls and mail; take messages and return calls as needed to gather information or respond to inquiries.

  • Prepare letters and other correspondence on behalf of the Assistant Director of Pupil Services.

  • Copy and forward student records in accordance with student services needs and confidentiality requirements.

  • Process timecards and expense reports for Student Services staff.

  • Prepare purchase orders for Student Services staff.

  • Assist with preparation and monitoring of the psychologist and assessment budgets.

  • Coordinate Act 48 Student Services in-service workshops on the District website.

  • Perform other duties as assigned.


Minimum Qualifications:


The qualifications listed below represent the minimum levels of education, training, skills, and abilities required for this position:



  • High school diploma or equivalent required.

  • Demonstrated proficiency in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Access.

  • Strong interpersonal and communication skills, with the ability to interact effectively and diplomatically with teachers, administrators, parents, students, support staff, and external partners.

  • Ability to perform essential physical and functional job requirements, including:


    • Using hands to handle office equipment and materials; speaking and hearing effectively.

    • Sitting for extended periods, with occasional standing, walking, stooping, kneeling, or crouching.

    • Lifting and/or moving up to 25 pounds.

    • Maintaining focus, attention to detail, and sound judgment in a fast-paced environment.



Reporting Relationships:



  • Reports directly to the Assistant Director of Pupil Services.

  • Works cooperatively with administrators, supervisors, staff, parents, and other stakeholders to fulfill job responsibilities.


Terms of Employment:



  • This is a 12-month position.

  • The position requires on-site work for 40 hours per week.

  • Salary (step/level placement) and benefits are determined in accordance with the current Collective Bargaining Agreement. Group 2
