- Answer the telephone and greet the public.
- Oversee campus office operations, including establishing effective communication channels across the district, coordinating responsibilities, planning, and implementing regular office meetings.
- Respond to inquiries and direct staff or administration as needed.
- Supervise and assist with maintaining:
- Registration procedures and maintaining student cum files.
- Student enrollment records.
- Student attendance records.
- Student discipline records.
- Parent communications (flyers, newsletters, etc.).
- Staff communications, using technology effectively (newsletters, bulletins, memos, etc.)
- Time and attendance documentation, payroll, and calling substitute line.
- Maintain campus budget, initiate purchase orders, check in orders, and maintain inventory.
- Process mail, both internal and external.
- Enter work orders as needed.
- Provide medical treatment for sick or injured when Health Aide is not available.
- Assist with maintaining school activity fund.
- Assist with Coordination of Parent Activities, Volunteers, SAAC Committee, Yearbook, etc.
- Assist with insuring efficient working operation of all office equipment and support equipment, such as copy machines, etc.
- Maintain an orderly, professional office appearance.
- Be able to work at a fast pace and handle multiple tasks and situations simultaneously and with interruptions.
- Perform other duties as assigned.
- 2-3 years secretarial experience
- Mandatory Title IX training is required by the Colorado Department of Education and for all public school employees. Title IX training addresses harassment, discrimination, and bullying. Completing these mandatory Title IX training courses ensure we are meeting state requirements while continuing to foster a culture of safety and belonging across our schools.

CALENDAR: 215 Days, 8 Hours per day

SUMMARY:

Strong oral and written language, spelling, and basic math; interpersonal relations; public relations; problem solving; phone etiquette; copy machine; phone system; keyboarding; computer programs: Microsoft Outlook, Microsoft Word, Microsoft Publisher, Excel, and desktop publishing; bookkeeping and accounting; ability to maintain confidentiality in all aspects of job; Bilingual Skills Desirable.
CERTIFICATES, LICENSES, & REGISTRATIONS:
CPR and First Aid certifications within 90 days after hire.

SUPERVISORY/TECHNICAL RESPONSIBILITY:
This job has no supervisory responsibilities.
JUDGEMENT AND DECISION MAKING:
Work is assigned by the Director/Principal. Requires independent judgment and tact to respond to concerns/problems and direct them to the appropriate individual; to properly care for ill students; to make budget, reimbursement, and purchasing decisions; and to determine how to best support school operations. Decision making is guided by District Student Behavior Standards, School Parent Handbook, Colorado Law, school and Board policies and procedures, and Finance Department policies. Decision making requires collaboration with Principal, Health Aide, teachers, parents, and central administration. Errors in decision making could result in improper accounting of purchases which would affect the budget, improper handling of concerns leading to angry parents or community members, and/or improper data entry leading to inaccurate reports. Supervisor is always involved in decision making.
DIVERSITY OF DUTIES:
Duties require cross training in bookkeeping and basic health care. Duties extend within assigned building.
