JOB SUMMARY
The Project Assistant will support the planning and day-to-day implementation of project activities focused on pediatric eye care in Mongolia. The role provides administrative, logistical, and basic technical support across training, outreach, data collection, and reporting. Working under the guidance of the Project Manager and in close collaboration with local partners, the Project Assistant will help ensure the smooth delivery of project activities, particularly in field settings.
LOCATION
Ulaanbaatar with frequent travel to field locations in the countryside.
REPORTING & WORKING RELATIONSHIPS
The Project Assistant will report to the Project Manager and work closely with local project partners. The role will also collaborate with the wider Orbis Mongolia team, including Program, Finance, and Administration, to support project implementation and operational needs.The role may also engage with the Country Director, as needed, to support project updates and coordination.
ESSENTIAL JOB FUNCTIONS / KEY AREAS OF RESPONSIBILITY
- Support the planning and coordination of project activities, including scheduling, travel, accommodation, and preparation of materials and equipment
- Assist in organizing trainings, workshops, partner meetings, and outreach activities
- Support data collection, entry, and basic analysis for project monitoring and reporting
- Maintain accurate project documentation, including attendance sheets, consent forms, and activity records
- Provide administrative support for procurement processes, including collecting quotations and preparing documentation in coordination with the Project Manager
- Assist in tracking project supplies and equipment
- Support field visits and outreach activities, including coordination with local partners
- Follow up on logistics arrangements with vendors and partners to ensure timely delivery of activities
- Assist in administering surveys, tools, and feedback mechanisms
- Capture photos, short stories, and activity updates to support project reporting and communications
- Assist with communication and document sharing with internal and external stakeholders
- Provide translation and interpretation support during meetings, training, and events, as needed
- Support basic tracking of project expenses and documentation (e.g., receipts, invoices) in coordination with Finance
- Perform other duties related to project implementation as assigned by the Project Manager
QUALIFICATIONS & EXPERIENCE
- Diploma or degree in Public Health, Social Sciences, Business Administration, or a related field, or equivalent practical experience
- At least 1–2 years of experience in an administrative or project support role, preferably in an NGO, public health, or development setting
- Experience supporting field-based activities or trainings is an advantage
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with online tools (e.g., MS Teams, Zoom)
- Fluency in Mongolian and working knowledge of English required
- Strong interest in community work, public health, and working in an NGO setting
- Willingness to travel frequently to rural areas
SKILLS & ABILITIES
- Strong organizational skills with the ability to manage multiple tasks
- Ability to prioritize tasks and manage time effectively in a fast-paced environment
- Strong coordination and follow-up skills to ensure activities are completed on time
- Good communication skills in English and Mongolian (written and verbal)
- Attention to detail and ability to maintain accurate records
- Basic data handling and reporting skills (e.g., Excel)
- Comfortable working in field settings and remote areas
- Ability to follow instructions and work collaboratively within a team
- Ability to identify and escalate issues in a timely manner
- Proactive, reliable, and willing to learn
- Ability to work respectfully with diverse stakeholders, including local partners and communities
- Experience with data analysis tools (e.g., Excel, Power BI, SPSS) is an advantage
