WHAT YOU�LL DO

As a Distribution Specialist, you�ll play a critical behind-the-scenes role in supporting payroll distribution for hundreds of clients and their employees. You'll ensure accurate and timely outbound delivery of payroll, handle high-volume mailroom tasks, and serve as a key point of coordination between internal departments. This position requires precision, efficiency, and a client-first mindset. Success in this role means zero distribution errors, on-time mail dispatch, and reliable administrative support that keeps things running smoothly across the organization.

  • Coordinate and execute the outbound distribution of payroll packages and mail to clients, employees, and carriers, ensuring 100% accuracy and daily deadline compliance

  • Manage inbound mail and documentation, ensuring all items are opened, scanned, and routed to appropriate contacts the same day of receipt

  • Support front office operations as needed, including answering high-volume calls, greeting visitors, and routing inquiries to the appropriate departments

  • Assist with administrative tasks such as scanning documents, reprinting paystubs/W2s, and entering new hire information

  • Maintain office supply inventory and ensure operational readiness of key equipment, supporting vendor relationships as needed

  • Ensure all distribution activity is accurately logged in Salesforce by the next business day

WHAT YOU BRING

You bring a strong track record of dependable, detail-oriented service in customer support or administrative roles. You�re quick on your feet, thrive in fast-paced environments, and take pride in delivering consistent, error-free work. You�re organized, tech-comfortable, and motivated by getting things done right the first time�on time.

  • At least 2 years of experience in customer service, administrative support, or mailroom operations

  • Proven ability to handle high-volume, detail-sensitive tasks with speed and accuracy

  • Strong verbal and written communication skills, with the ability to coordinate effectively across teams

  • Professional demeanor and ability to create a positive first impression with clients and colleagues

  • Comfort with multi-tasking and working under pressure to meet tight deadlines

  • Strong problem-solving skills and willingness to support others across departments
