We are seeking a highly organized, proactive Executive Assistant to provide comprehensive support to the CEO and senior leadership team. This role requires exceptional judgment, discretion, and the ability to anticipate needs while managing competing priorities in a fast-paced environment. The ideal candidate will be a trusted resource, ensuring seamless day-to-day office operations, optimizing executive productivity, and facilitating effective communication across the organization.
Essential Functions
· Manage complex executive calendars, prioritizing time and aligning schedules with strategic objectives
· Coordinate all travel logistics, including detailed itineraries, accommodations, and expense reporting
· Draft and edit high-quality communications and presentations, including board materials, leadership updates, and internal messaging
· Handle sensitive information with a high degree of discretion and professionalism
· Plan and execute meetings, offsites, and team events, including agendas, logistics, and follow-ups
· Track and coordinate contract workflows, partnering with internal stakeholders and legal to ensure timely review and execution
· Prepare materials for board and leadership meetings, ensuring accuracy and adherence to deadlines
· Support cross-functional communication and coordination on behalf of leadership
· Monitor key action items and follow through to ensure timely completion
· Process expenses, invoices, and provide light budget tracking support
· Support ad hoc projects and strategic initiatives as needed
Knowledge, Skills and Qualifications
· 5+ years of experience supporting leaders, preferably in a fast-paced or high-growth environment
· Exceptional organizational and time management skills, with the ability to manage multiple priorities and deadlines
· High proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel) and common collaboration tools (e.g., Teams, Zoom, Monday.com), more advanced data analysis or ERP experience a plus
· Strong written and verbal communication skills, including the ability to draft executive-level communications
· High level of discretion and judgment in handling confidential and sensitive information
· Proven ability to anticipate needs, think proactively, and solve problems independently
· Advanced calendar and travel management capabilities in a fast-paced, high-demand environment
· Strong attention to detail and accuracy across all work products
· Ability to build trust and work effectively with executives and cross-functional teams
· Experience supporting meeting development, including preparation of materials and coordination of logistics
· Ability to manage and track multiple workflows, including contracts or approvals, with strong follow-through
· Strong interpersonal skills and professional presence, with the ability to interact confidently with internal and external stakeholders
· Adaptability and flexibility in response to changing priorities and business needs
· Basic financial acumen, including expense management and budget tracking
· Ability to maintain composure and professionalism under pressure
· Bachelor’s degree preferred or equivalent experience
Physical Work Conditions:
A majority of the time will be spent at a desk, using a computer and phone.
