Job Summary:




The Department of University Police & Public Safety at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant. The successful candidate will:



  • Provide a broad range of professional, financial, and administrative support to the entire University Police Department and all related units.

  • Assist the University Police Department Administrator with all administrative matters for the department, including department time sheets, reporting time, and attendance issues to department management, answering phones, creating personnel transactions, and all other administrative duties.

  • Monitor and track the department's budget, tracking Patrol Staff and Transportation staff overtime, and any variants of monthly expenses.

  • Prepare monthly reports for the Chiefs and Sr. Leadership.

  • Assist the Department Administrator with the creation of requisitions, purchasing, and tracking of expenditures.

  • Assist with planning and implementation of the Department's annual budget.

  • Assist with the distribution of Downstate IDs to students, faculty, staff, and vendors, ensuring accuracy and verifying eligibility.

  • Assist with the distribution of ID's at all orientations (students and staff).

  • Answer ID Office phones and provide coverage of the office, as requested.

  • As requested, provides administrative support to the University Police Transportation Unit.






Required Qualifications:





  • 2+ years of experience in an administrative and/or financial assistance role,

  • Bachelor's Degree in a related area;

    • OR, 4+ years of administrative experience with some financial background is acceptable in place of a Bachelor's Degree.



  • Outstanding interpersonal and organizational communication skills.

  • Highly organized with strong problem-solving skills.

  • Strong ability to prioritize and manage various projects.

  • Strong customer service focus and the ability to interact with cross-functional team members at all levels of the organization.

  • Experience working with Microsoft Office Suite: Outlook, Microsoft Word, Excel, and PowerPoint.

  • Ability to handle confidential information with discretion.

  • Or, a satisfactory equivalent combination of experience, education and training to the above.

Monday to Friday; 9:00am to 5:00pm (Full-Time)

Commensurate with experience and qualifications
