Position Overview   

We are seeking a highly organized, proactive, and adaptable Executive Assistant to join the Executive Office, providing primary support to one to two C-suite leaders, as well as broader support across the leadership team.

This role operates at the center of the organization and partners closely with the Chief of Staff and Head of Strategy to ensure the Executive Leadership Team (ELT) is aligned, prepared, and operating effectively.

This is a fully in-office position requiring a high degree of collaboration, responsiveness, and professional presence. The ideal candidate brings strong foundational experience, sound judgment, and the ability to operate with discretion in a fast-paced environment.


Key Responsibilities

Executive Support

· Manage complex calendars, scheduling, and shifting priorities across multiple senior stakeholders

· Coordinate travel, logistics, and day-to-day administrative support for C-suite leaders

· Serve as a gatekeeper for executive time, ensuring alignment with key business priorities

Executive Office Partnership

· Collaborate closely with the Chief of Staff and Head of Strategy to support and enable the Executive Leadership Team

· Contribute to a highly coordinated and responsive Executive Office environment

· Ensure leaders are appropriately prepared for meetings, engagements, and key business milestones

Operations & Coordination

· Support cross-functional initiatives, special projects, and internal events

· Assist in the planning and execution of leadership meetings, offsites, and key organizational moments

· Track action items and follow-ups to ensure timely execution across teams

Communication & Content Development

· Draft, review, and format internal communications

· Support the development of presentations and materials for leadership and board-level meetings

· Ensure deliverables are accurate, well-structured, and aligned with organizational messaging

Special Projects

· Support ad hoc projects aligned to key business priorities, often with high visibility

· Partner cross-functionally to gather inputs, monitor progress, and drive execution

· Bring structure and organization to ambiguous initiatives, helping translate concepts into actionable plans

Execution & Problem Solving

· Demonstrate flexibility in supporting a range of tasks, both strategic and administrative in nature

· Handle sensitive and confidential information with a high level of discretion

· Anticipate needs, identify potential challenges, and respond with timely, effective solutions
 

Qualifications

· Minimum of 1 year supporting a VP-level or senior leader, or equivalent experience in a highly coordinated, fast-paced environment

· Strong organizational skills with exceptional attention to detail

· Excellent written and verbal communication skills

· Ability to prioritize effectively and operate with a strong sense of urgency

· Demonstrated ability to handle confidential information with professionalism and discretion

· Collaborative, team-oriented mindset with a willingness to support across a range of responsibilities

· Comfort operating in an in-office, fast-paced, and highly dynamic environment

· Ability to build relationships and communicate effectively across all levels of the organization
