Job Description

PRN - Availability to fill in as needed:

JOB SUMMARY

Acts as the customer service representative to all guests arriving in the care neighborhood. Provides administrative and secretarial support for the Manager, Clinical Services for the assigned care neighborhood. May provide back up for other neighborhood needs as requested or assigned. Supportive of the Village mission, values and service/hospitality (PRIDE) expectations.  Completes training as required by policy.

ESSENTIAL JOB FUNCTIONS

  • Takes initiative and provides support to Manager, Clinical Services (i.e. scheduling meetings/appointments, preparing meeting agendas/minutes, RiskWatch data entry, etc.).
  • Directs incoming communication systems effectively on the nursing unit (i.e. including doctors, labs and other healthcare providers).
  • Greets and directs visitors with warmth and promptness; escorts residents of visitors to lobby as needed.
  • Identifies needs related to Manager, residents and family members and takes appropriate action.
  • Prepares time sheets, processes payroll records including time transfers, inputs training and attendance date and coordinates onboarding needs.
  • Attends daily standup and compiles data to update nursing staff of assignment sheets/schedules.
  • Coordinates patient/resident, associate activities and functions with other departments/services.
  • Maintains current patient/resident medical records and documents audits (bath, skin, ADL) daily.
  • Maintains supplies on the unit and orders new supplies as needed.
  • Maintains patient/resident and associate confidentiality, enters data information into computer system, utilizes fax and copy machine.
  • Compiles unit census, quality assurance/assessment (QAA) date, medical records, staff scheduling and information records.
  • Participates in safety, infection control and Resident Rights.
  • Handles requests/concerns from other departments or outside customers.
  • Files correspondence, documents and records.
  • Monitors nursing staff attendance and creates data reports for Nursing Administration to identify staff attendance patterns for at least the following issues: missed punch in/out frequency, shift arrival time (tardiness), absence rates.
  • Schedules and enters paperwork for activity consents/outings.
  • Participates in day area dining room by passing drinks, filling out menus, and monitoring hygiene needs of residents.
  • Plans staff recognition and teambuilding activities. 
  • Supports marketing activities to ensure constant demand for services.
  • Respect in Action role model for the neighborhood.
  • Adheres to all safety regulations and requirements.
  • Handles stress well and get along with others within the workplace and with customers outside the department.
  • Maintains acceptable standards of workplace conduct.

The responsibilities described above represent the primary responsibilities of the job.  Other responsibilities may be assigned by the supervisor as warranted by business needs.  The incumbent is expected to perform all assigned responsibilities.

 

ESSENTIAL QUALIFICATIONS  

Education: 

  • This position required the level of education typically acquired by a course of study leading to a high school diploma or GED.

Knowledge and Skills (required unless otherwise noted):

  • Must be able to type 35 gross words per minute and have experience in use of computers.
  • Microsoft Word – Must demonstrate a minimum overall proficiency of 70%, or with a minimum overall proficiency of 50% successfully complete Microsoft Word 1 & 2, or equivalent, within 6 months of employment.
  • Microsoft Excel – Must demonstrate a minimum overall proficiency of 50%, or successfully complete Microsoft Excel 1 & 2, or equivalent, within 6 months or employment.
  • Medical Records experience is preferred.
  • Intermediate keyboarding skills and knowledge and skill using Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel.
  • Essential aptitudes include coordinating multiple projects and handling confidential information.
  • Professional presentation of self to all neighborhood visitors and associates.
  • Ability to speak in simple sentences.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s.
  • Ability to apply common sense understanding to carry out detailed but straight-forward written or oral instructions.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
  • Excellent customer service and relationship building skills.

Experience:

  • Must have three (3) years secretarial/administrative experience. Health care related experience a plus.

Special Working Conditions

  • The employee is subject to inside environmental conditions
  • Protection from weather conditions but not necessarily from temperature changes.
  • Environment provides adequate lighting working in close and constant proximity to equipment and healthcare providers.
  • Must be able to handle multiple interruptions and multi-task on an ongoing basis.
  • All associates may be called upon to assist other departments in a declared emergency situation.
