The Opportunity:
The Supervisor is responsible for overseeing the Documentation Team to ensure the goals and objectives of the department are met. In particular, ensure final documents are received on a timely basis from Solicitors; discharge documents are prepared accurately and according to provincial timeframes; and renewal processing and monthly reporting.
How you will contribute:
- Ensure the team meets or exceeds the company standards for customer service
- Monitor workflow to ensure even distribution of daily workflow and timely follow up and review of documentation
- Provide input towards the testing of internal system enhancements
- Document policy and procedures with respect to renewal and documentation administration and update manual when required
- Investor/insurer/management reporting as required and other duties as assigned
- Ensure the team has a solid understanding of company policies, product knowledge and documentation
- Provide direction to team members on policy interpretation and Investor/Insurer procedures and guidelines
- Facilitate regular team meetings to provide updates on team performance, communicate change in policies and procedures, and link company and department goals to individual performance
- Encourage participation and feedback from team members on how to continuously improve processes
- Identify team and individual performance gaps; communicate performance gaps; sets action plans and provide training to improve performance
- Complete quality assurance spot checks of completed work on a monthly basis
- Coach employees on performance and customer service expectations, providing specific training in key skill areas, as necessary
- Participate in the recruitment process; screen resumes and conduct interviews
- Conduct annual performance reviews and set performance goals, as well as, conduct checkpoint meetings with individuals throughout the year, as necessary
- Complete special projects as assigned by Management
The experience you need:
- Post secondary education and/or equivalent work experience preferred
- Supervisory/Management experience required
- Strong interpersonal and communication skills
- Proven organizational skills and demonstrated ability to prioritize and multi-task
- Demonstrated ability to:
- Analyze information and make confident decisions
- Create a team environment
- Give constructive feedback
- Lead and motivate others
- Set and communicate goals
Working Environment and Physical Demands Analysis:
- Office environment
- Periods of high volume with tight timelines
- Long periods of stationary position/sitting
- Prolonged periods of repetitive movement (i.e. using a keyboard and mouse)
- Long periods of time in viewing a computer screen
- Multi-tasking may include speaking to customers on a telephone call while looking up information on a computer program.
