Salary Range: $55,000-$58,000 a year.

SUMMARY:

The Risk & Insurance Associate provides operational support for the University’s risk management and insurance functions under the direction of the Associate Vice President for Finance and Administration/Controller. This position supports compliance with Federal, State, TAMUS, and ETAMU requirements by coordinating documentation, maintaining records, and assisting with risk and insurance-related processes. The Risk & Insurance Associate facilitates communication between departments, supports insurance procurement for equipment and special events, maintains scheduled inventory records, and gathers information needed for insurance claims. This role performs work based on established guidelines, procedures, and supervisor direction.

DUTIES & RESPONSIBILITIES:

  • Provides administrative and logistical support for the campus Enterprise Risk Management (ERM) program, including scheduling meetings, preparing materials, and maintaining documentation of risk assessments and mitigation efforts.
  • Assists with coordinating periodic risk assessments and quarterly ERM Committee meetings; distributes meeting notices, agendas, and minutes.
  • Supports communication of risk management concerns to appropriate departments by relaying information and tracking responses as directed.
  • Assists in implementing risk assessment processes and maintains related records and schedules.
  • Supports risk management activities by organizing documentation related to risk assessment, mitigation, transfer, and avoidance as directed.
  • Monitors travel advisories using established resources and forwards relevant information to appropriate university employees.
  • Provides administrative support for internal and external audits, including gathering documents and maintaining files.
  • Attends assigned meetings and committees as directed by the Associate VP and provides notes or documentation when requested.
  • Serves as claim coordinator by collecting and compiling information related to University property, automobile, and general liability claims and forwarding details to appropriate parties.
  • Maintains and updates claims records and tracking spreadsheets; prepares summary reports upon request.
    Serves as a point of contact for University departments seeking insurance-related information and routes requests to the appropriate System Office or leadership as needed.
  • Maintains inventory lists for insurance-related products obtained through System Risk Management, including building property, contents, medical malpractice, sports accident medical, auto, and special events coverage.
  • Reviews event documentation for completeness and forwards materials for risk review and insurance approval by appropriate authorities.
  • Performs related duties as assigned by the Associate Vice President for Finance and Administration/Controller.

MINIMUM REQUIREMENTS:

  • Education: High school diploma or equivalent combination of education and experience.
  • Experience / Knowledge / Skills: Two (2) years related experience in administration, program management, risk and compliance, customer service, or a related field. Experience with computer applications, word processing, spreadsheets and database programs. Excellent oral and written communication skills.
  • Ability to: Ability to multitask and work cooperatively with others. Must be organized and able to management multiple projects. Must be able to plan and think ahead, have good judgement and make quick decisions. Must be able to follow directives and work independently as well as in a team. Ability to work well in a fast-paced environment under deadline pressures.

Experience working in a university setting.

SUPERVISION OF OTHERS:

Student or support staff as assigned by the Associate Vice President for Finance and Administration/Controller.

CRITICAL INFRASTRUCTURE COMPETENCY:

Ability to maintain the security and integrity of critical infrastructure, which may include communications systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment system or water treatment system.
