We have an exciting opportunity to hire a Sales Project Coordinator at our Creative Center in Parsippany, NJ. The Sales Project Coordinator plays a pivotal role in supporting the sales team by managing and executing sales administrative functions. This includes entering and tracking briefs, coordinating client interactions, scheduling visits, and preparing correspondence and reports. The coordinator ensures efficient management of multiple, concurrent projects, leveraging a strong understanding of industry practices and standards to deliver a seamless client experience

Key Duties & Responsibilities

  • Client Relations:
     Responds promptly to client inquiries, provides accurate information, and serves as a primary point of contact for routine customer matters.
  • Sample Management:
     Receives and tracks sample requests, ensuring timely follow-up and keeping sales managers updated on progress.
  • Project Administration:
     Oversees the operational flow of all projects, including tracking deadlines, managing pricing submissions, reviewing documentation, and resolving issues to ensure smooth execution.
  • Cross Department Coordination:
     
    Acts as a central source of project information, facilitating communication and collaboration among all departments involved. Works directly with clients to ensure sample needs, stability testing, product safety paperwork, shipping details, and project timelines are clearly communicated and met.
  • Reporting & Analysis:
     Conducts research, retrieves data, and prepares reports and spreadsheet analyses to support project tracking and decision-making.
  • Team Collaboration:
     Collaborates with business-getting teams (Creation, Development, Technical, Marketing, and Sales) to ensure clients receive all necessary data and resources are coordinated efficiently.
  • Quality & Compliance:
    Upholds MANE USA values and quality policies, ensuring compliance with departmental procedures (e.g., ISO standards).
  • Data Management:
     Maintains accuracy and timeliness in project management system entries.
  • Project Updates:
     Communicates project changes that may impact departments, such as project closures, sample deadlines, QC, regulatory updates, and shipping notifications.
  • Prioritization:
     Issues daily priority lists for projects and ensures follow-ups are completed.
  • Sample Processing:
     Ensures all samples are processed and labeled correctly to maintain traceability and quality standards.
  • Environmental Responsibility:
    Actively participates in relevant environmental education/training and adheres to corporate and local environmental policies, acting on best practices in support of MANE’s commitments.

Education & Experience

  • College preferred
  • 1+ Years Administrative and Project Management Experience
  • Microsoft Office Suite a must
  • Salesforce Experience a Plus

Pay Transparency Disclosure: The anticipated annual salary range for this position is $63,000 to $78,000. Final compensation will be determined based on a variety of factors, including but not limited to experience, qualifications, geographic location, and applicable legal considerations. This role is also eligible for a discretionary annual bonus, which is awarded based on both individual and company performance.
