Job Description

SUMMARY OF PRIMARY FUNCTION

The Center Support Assistant assists the Center Manager in daily operations by completing a variety of tasks and responsibilities based on center needs, and at the discretion of the Center Manager. The Center Support Assistant reviews family information and verifies documents to certify eligibility, assists in proper selection and enrollment, maintains child attendance records, inputs data into data systems, and completes related reports.  Other responsibilities include but are not limited to: bills and coding, inventory, food service report, shopping, in-kind, and supporting classrooms as needed.  Helps recruit potential parents by providing information to them about the various program services and benefits offered to enrolled children and families.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Eligibility

  1. Assures that application/eligibility forms, and verifying documents are complete, accurate and appropriate.
  2. Verifies family eligibility criteria for one or more of the program’s funding sources.
  3. Compiles data from database on family eligibility to assist in selection priorities.
  4. Maintains an up-to-date database, and assists the Center Manager in completing selections for enrollment.

 

Data Entry and Reporting

  1. Assures quality of data entered into the program database by running periodic checks for accuracy.
  2. Assists other center staff in ensuring data is entered into the program database.
  3. Maintains, enters, and transfers program enrollment data efficiently.
  4. Compiles program data as requested, and assists in developing reports designed to meet program needs.
  5. Maintains current records on child enrollment, daily attendance, In-Kind and meal counts.
  6. Assures that individual child and family enrollment records are entered into the data entry systems, and copies made as needed.

 

Center Support

  1. Assists in the development and distribution of center information including newsletters, flyers, required postings, and notices to parents, meeting minutes, etc.
  2. Facilitates telephone communication between center staff, families, and the public.
  3. Communicates on a regular basis with supervisor and center staff.
  4. Assist in classroom support as directed by Center Manager and/or Curriculum Coordinator.
  5. Assists Center Manager in shopping and ordering of center supplies.
  6. Assists Center Manager in completing center contracts and collects all required documentation to support accurate recordkeeping.
  7. Maintains inventory of supplies and materials. Ensures inventory is entered into data base.
  8. Assists in documenting purchases, payment processing, and maintaining current record of accounts.
  9. Assists in providing supplies and materials to staff in a timely manner.
  10. Assists with gathering and documenting community assessment information.
  11. Assists Center Manager in ensuring that all Tri-Valley buses are scheduled for DOT inspections and are properly prepared for the inspection process.
  12. Assist Center Manager in scheduling preventative maintenance and oil changes for all Tri-Valley-owned buses.
  13. Assist Center Manager in maintaining and updating the car seat inventory, ensuring all car seats are current and not expired.
  14. Assist Center Manager in preparing Bus Route Information forms, including detailed routes and designated pick-up points.
  15. Assist Center Manager with the Developing and maintenance of the Bus Passenger Attendance Lists.

 

Safety

1.   Have or obtain within 90 days of hire a First Aid and CPR Certification as well as maintain the certification during

       employment.

 

MINIMUM REQUIREMENTS

  1. Must be at least 18 years of age; or have a high school diploma or GED, and be turning 18 by the end of August of the current year.
  2. Excellent communication skills, verbal and in writing.
  3. Experience collecting, recording, and maintaining data.
  4. Comfortable working with computers, willing and able to learn program specific systems.
  5. General knowledge of office equipment including copiers, scanners, and telephone systems.
