- PURPOSE AND SCOPE:
The Front Office Manager personifies the ACS office as the welcoming face of the school community, overseeing daily administrative operations while embodying the values and mission of Catholic education. This role manages the receptionist position, coordinates communication between parents, students, and faculty, and ensures efficient handling of attendance, records, scheduling, and school correspondence. The Front Office Manager provides exceptional customer service, maintains confidentiality, and supports school leadership with organizational and clerical tasks, all while fostering a warm, respectful environment grounded in faith, service, and academic excellence.
- ESSENTIAL JOB FUNCTIONS:
- Admission and enrollment process with new students / families / teachers (onboard / offboarding process)
- Supervise Receptionist position
- Manage Office email (receive and respond)
- Receive and record checks / cash for Parish Bookkeeper
- SET Coordinator – ensure compliance (school, parents and staff)
- Attendance
- Prepare packets, name cards, etc for Kindergarten Parent Orientation in Apr/May, New Family Orientation/Dinner in Aug
- Prepare/send Weekly Updates
- Create/send Sign Up Genius for conferences, volunteer opportunities, RSVP for orientations and social events, Kindergarten Readiness Assessment
- Provide data for fall NCEA Database Report and for monthly principal reports
- Proof-read newsletters, programs for concerts and ceremonies (NJHS, graduation), Annual Report, and other publications
- Create preliminary and final class lists with waitlist
- Create and update classroom distribution list in school gmail
- Support days like Grandparents’ Day, Curriculum Night, etc.
- Clerical support for Athletic Department
- Lost & Found support
- Coordinate:
- Periodic staff lunches
- Admissions - inquiries, tours and applications
- Student shadows (with teachers and families)
- After care billing
- Special AHG ceremonies
- Spring musical with NatCo (contract, schedules, etc.)
- Lunch volunteers
- After school programs / publish calendar to ACS staff
- Lunch program (Dishes2You)
- Summer camps
- School photos with Dorian
- Yearbook with school committee and Dorian
- Maintains cooperative relations with all in the school community
- Promotes respectful and positive school relationships
- Attends and actively participates in school activities and functions
- Performs other duties as assigned by the Principal and Vice Principal
- REQUIRED EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES:
- Must be practicing Catholic (Bona-Fide Occupational Qualifications - BOFQ) and be willing to sign a Profession of Faith
- High school diploma or equivalent (required)
- Strong verbal and written communication
- Friendly, welcoming demeanor (important for families, students, visitors)
- Ability to handle confidential information with discretion
- Must be creative and show initiative
- Must have good organization, time management, problem solving and judgment skills; have an ability to observe and actively listen in assessing personnel and program needs, good communication skills with both children and adults
- Must have ability to work cooperatively with others as well as ability to delegate
- Must have received Safe Environment Training and signed the Code of Conduct
- Must have FBI Fingerprint clearance completed
