Our secretary provides assistance to the building staff, students, parents, and public to ensure efficient and effective operation of the building. This position primarily follows with school calendar with a few additional weeks of responsibility. This position will be a receptionist, assist in coordinating substitutes and publish communications (social, website, and newsletters).
A Day in the Life:
- Operates and maintains office equipment and machines, including but not limited to door buzzer, computers, adding machines, copy machine, laminating, intercom, paper shredder, district radio, and telephone to improve the operation of the office and building.
- Communicates with students, parents, community and staff to ensure accurate giving/receiving of information, frequently utilizing online communication, newsletters, auto dialer, Blackboard, and daily bulletins.
- Completes reports and related paperwork necessary for the efficient operation of programs and to comply with building and district policies.
- Maintains, updates, and files student records, including but not limited to grades, grade cards, enrollment, attendance, discipline, transfer and withdrawal to comply with district, state, and federal guidelines.
- Updates and maintains forms to be used by the building staff, students, and parents.
- Maintains building calendar of events/meetings to ensure efficient operation of the building.
- Participates in professional development to ensure proficiency of job skills.
- Inputs data for staff and students into district software program for accurate record keeping.
- Admits and greets visitors and directs them to the appropriate location for the safe operation of the building.
- Assists with supervision of student aides and students in detention to ensure smooth operation of the office and proper students supervision.
- Provides clerical support to administrative staff to ensure efficiency in their job functions.
- Maintains confidentiality as appropriate in order to comply with district, state and federal laws.
- Performs other duties as assigned for the purpose of ensuring the efficient and effective functioning of the office and building.
- Administers prescribed medications and covers health room when nurse is unavailable.
- Attends and assists with one-stop enrollment in order to enroll new students.
- Compiles summer school information to assist with summer school enrollment.
- Assists with organizing volunteer breakfast and other special activities in order to show appreciation.
- Assists with finding coverage for lunch duty, and recess as well as substitute teachers for the purpose of student safety and efficient operation of the school.
