Job Description

The Canadian Vendor and Parts Coordinator plays a key role in supporting Warehouse on Wheels’ (WOW) Canadian operations (Smartway) by managing vendor relationships, national accounts, and parts procurement across multiple locations. Reporting to the National Vendor & Parts Manager, this position ensures vendor compliance, cost efficiency, and consistency in parts sourcing and inventory standards nationwide.

This role acts as the subject matter expert for Canadian vendor processes, purchase orders, and pricing audits, while supporting both existing locations and new sites, including greenfields and acquisitions. The successful candidate will be highly detail-oriented, comfortable negotiating with suppliers, and well-versed in tractor-trailer parts and vendor management.

The ideal candidate brings strong communication and organizational skills, a proactive “can-do” mindset, and the ability to work collaboratively with operations teams to resolve vendor issues, maintain compliance, and deliver best-in-class pricing and service.

 

Responsibilities

  • Responsible for all Canadian Vendor Agreements: Compliance with WOW policies
  • Responsible for all things vendor related: new vendor process, Setup in Sycor, WSIB compliance, COI compliance, vendor issues/complaints
  • Establish and maintain all Canadian National Accounts. Maximizing WOW size to leverage lower pricing
  • Source vendors across markets and negotiate top tier pricing
  • Assist with maintaining standard parts room layout and inventory across all Canadian WOW locations
  • Maintain vendor information within Sycor
  • Assist all sites with vendor issues/setup, to include all Greenfields and new acquisitions
  • SME on purchase orders. Ensure POs are closed out as necessary and not left lingering
  • Periodically audit vendor agreements, open purchase orders, parts/supplies expenses to ensure compliance to WOW standards
  • Audit vendor invoices to ensure location is receiving best pricing
  • Maintain GPS accounts for Canadian assets
  • Assist local operations teams with customer COI compliance
  • Other duties as assigned by National Vendor & Parts Manager or Director of Resource Management

 

Experience

  • Excellent telephone skills
  • Proficient with Microsoft programs, especially Word and Excel
  • Ability to read, write, and have excellent verbal communication skills
  • Detail oriented

  • Excellent follow up skills

 

Qualifications

  • High School Diploma or equivalent required
  • 5-7 years’ experience with direct customer relations
  • Must have a current driver’s license
  • Highly familiar with tractor trailer parts and parts suppliers
  • Excellent negotiation skills
